    Job Description

    POSITION PURPOSE

    The primary purpose is to direct and manage the area market’s operational performance by identifying risk, trends, and growth opportunities to ensure profitability and exceptional customer service.  The position motivates and gives guidance to all team members. 

    HOURS WORKED: Monday-Friday: 8:30am-5:30pm, variable work hours and overtime may be required occasionally at the discretion of the supervisor.  

    WORK ENVIRONMENT:   This job operates in a professional office environment, NO REMOTE WORK AVAILABLE..

    ESSENTIAL FUNCTIONS AND BASIC DUTIES/PERFORMANCE MEASUREMENTS:  

    RESPONSIBILITY: LEADERSHIP AND DEVELOPMENT 

    • Ensure the understanding and support of the CWS mission and philosophy among the team and to ensure that it is carried out on a day-to-day basis 
    • Develop and maintain a positive working environment including: motivate associates, build team morale, and develop and help each associate with career development goals
    • Analyze labor margins and ensure that standard and adequate staffing ratio is met  on a regular and frequent basis   
    • Interview, hire, and provide each associate training to help employees develop professional goals through performance                                           
    • Serve as a mentor and resource for associates to continue to learn and grow in the position and with the company (e.g.: conduct monthly one-to-one meetings)
    • Hold each associate accountable,  complete disciplinary performance procedures and consult with the HR department for guidance 
    • Facilitate teamwork, active engagement, and regular team meetings 
    • Approve all mileage and expense reports pertaining to region
    • Approve timesheets and monitor/review all timesheets submitted to ensure accuracy and to maintain overtime hours to a minimum

    RESPONSIBILITY: FINANCIAL ACCOUNTABILITY 

    • Monitor the set rates template to ensure profitability 
    • Read, evaluate, and analyze monthly financial budgets
    • Review financial reports monthly to analyze revenue, gross margins, direct and indirect operating expenses, and overall financial performance for the month to determine if market is meeting or exceeding their budget and objective financial goals
    • Analyze historical data and predict future trends to meet budget and objective gross margins.     
    • Audit monthly supply partner bills to ensure accurate receipt of invoices (e.g.: utilities, furniture and housewares supply partners)
    • Monitor the quality of services to ensure that all terms of the supply partner contract have been enforced.  
    • Approve all supply partner contract renewals, and if necessary, renegotiate supply partner contracts to ensure lowest cost without compromising quality of services

     

    RESPONSIBILITY: STRATEGIC PLANNING AND DEVELOPMENT

    • Gain market visibility and market share for the area through marketing, relationship building, and other appropriate means
    • Measure success rates, vacancy tracking, and analyzing customer satisfaction surveys, and any other key indicator metrics on a monthly basis to track and monitor performance of the region  
    • Actively seek new business opportunities to meet or exceed financial goals    
    • Seek and identify market strategies to increase margins and increase revenue growth for the area

     

    RESPONSIBILITY: GENERAL OPERATIONS/ADMINISTRATION 

    • Oversee all aspects of the business operations within the area market and overall quality assurance
    • Establish and maintain competitive pricing within the area market
    • Ensure that all property contracts and service level agreements are met 
    • Manage occupancy by evaluating market trends to determine when to return units and when to acquire units  for maximum profitability
    • Manage the inventory of corporate apartment units within the market and review/acquire additional inventory as needed 
    • Ensure that CWS property contracts are being met by meeting the 1% rule and ensure the prevention of any economic loss to the market during any given month
    • Monitor and ensure all data entry in the operational database is accurate and timely.     Mentor and coach direct reports on the company’s operational databases for increased efficiency and to minimize errors

     

    RESPONSIBILITY: CUSTOMER SERVICE 

    • Monitor and effect customer service satisfaction by guiding associates in troubleshooting and to find creative solutions to problems to maintain customer happiness 
    • Handle all elevated customer service issues that arise 
    • Monitor all on-call activities and assist in follow-up as necessary
    • Conduct site tours including escorting prospective residents around apartment communities to introduce them to the community amenities and the desired apartment unit(s)  
    • Initiate and coordinate client meet and greets with various  apartment community contacts, and current and potential clients to establish and maintain positive relationships and to attract prospective clients
    • Represent CWS in community and local events(i.e.: client, networking, and supply partner events) to establish and maintain positive relationships and negotiations

    RESPONSIBILITY: MAINTENANCE AND SAFETY: 

    • Oversee the general operations of the office space and ensure the maintenance meets or exceeds company standards of operations
    • Ensure that doors are open during business hours and locked after hours
    • Manage general office supplies, renovations and furnishings, as needed  
    • Ensure that all team members conform to all safety policies and procedures, use all appropriate safety equipment, and bring any unsafe working conditions to the attention of management immediately
    • Maintain a professional office environment and ensure that all team members adhere to the standards set forth in the CWS Business Dress Policy 
    • Ensure the compliance of building management, federal, state and industry regulatory compliance (e.g.: labor law postings, OSHA 300 logs, etc).  
    • Other duties as assigned

    WORK ENVIRONMENT:   This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.     Please refer to the Physical Job Requirements form for more information on the physical requirements of the position.  

    QUALIFICATIONS:

    EDUCATION/CERTIFICATION:

     

    Bachelor's Degree preferred or Industry experience in Corporate Housing would be equivalent. Budget & financial reporting experience preferred. 

    REQUIREMENT:

    Ability to pass background, drug and driving record check annually, as per company policy and guidelines. Must maintain a valid and unexpired driver’s license that meets company driving standards and maintain current automobile insurance and registration.

    EXPERIENCE:

    Corporate Housing, Hotel or related management experience required.

    A minimum of 4 years of general management experience is preferred, and experience in leading and directly supervising a team of 5 or more employees is preferred.

    REQUIRED SKILLS:

    Strong computer skills particularly in Microsoft Office Suite applications such as Outlook, Word, Excel, PowerPoint, and smart phone technology.
