    POSITION SUMMARY: 

    Vallen’s Benefits Specialist is an individual contributor position that supports and administers all benefits related activities, including both health & welfare and retirement benefits.  They also provide guidance on the design and administration of all benefits to Vallen HR and Executive Leadership.  They formulate partnerships across the HR function to deliver value-added service to management and associates that reflects the business objectives of the organization.

     

    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

    • Under guidance & direction of the Benefits Manager, this role administers & communicates benefits activities, policies, procedures & programs. 
    • Provides counsel to associates on all benefits related questions.
    • Processes all employee directed 401k deduction and employer match payments to ensure accuracy and compliance.
    • Processes the 401k census for eligibility/changes as well as 401k loans and all administrative processes regarding the 401k plan.
    • Uses independent judgment to identify, assess, and correct all 401k funding errors in compliance with the Self Correction Program.
    • Acts as liaison between associates, HRBPs, insurance providers and third-party administrators; resolves benefits eligibility and claims issues.
    • Prepares detailed analyses of benefit related reports; interprets data and presents accurate information in an understandable format.
    • Assists in the 5500 process for all benefit plans to include collection of applicable tax forms and coordination with broker or third party auditor.
    • Responsible for timely benefit payments to providers/vendors, monthly reconciliation of all benefit-related general ledger accounts, addressing discrepancies between amounts owed/paid by associates.
    • Reviews monthly billing, vendor payment coordination with Finance team.
    • Assists in administration of the Wellness Program including:
      • Schedules on-site biometric screenings
      • Coordinates challenges and wellness events with Vitality
      • Creates Wellness communications with Vallen Marketing team
    • Assists in the annual open enrollment process including:
      • Coordinating the creation and distribution of communications materials
      • Project planning and vendor file coordination
      • System testing and support
    • Ensures all benefit plan vendors and third-party providers are providing optimal service delivery.
    • Stays abreast of and ensures compliance with federal laws; tracks trends and implements best business practices.
    • Maintains and administers leave of absence and workers compensation programs in accordance with company policies and state/federal regulations.
    • Identifies new opportunities for HR to add value to the business.
    • Supports initiatives aligned with Vallen’s strategic and financial goals.
    • Performs other duties as assigned.

     

    JOB QUALIFICATIONS: 

    Bachelor’s degree preferred in a related field (e.g., Human Resources, Business, Finance, etc.) coupled with 3+ years of experience in benefits administration.  Relevant experience should include:

    • In-depth knowledge of health & welfare, retirement and wellness program design, development and implementation as well as statutory and regulatory requirements.
    • Experience with self-funded benefit programs and working knowledge of ERISA
    • Experience with HRIS and Payroll systems, preferably ADP Workforce Now
    • Ability to meet deadlines, multitask and coordinate efficiently with various internal (Finance, IT, Marketing) and external (broker/vendor) resources
    • CEBS/PHR or comparable certifications a plus
    • Demonstrated ability to resolve moderately complex issues.
    • Demonstrated ability to uphold confidentiality and work with sensitive job and pay-related data.
    • Excellent analytical and problem-solving skills, sound judgment, independent and creative thinking with an eye for detail and accuracy.
    • Demonstrated project management skills including cross functional projects with various stakeholders
    • Action and results-oriented, while able to maintain a broader business perspective
    • Demonstrated ability to build strong and trusting relationships with internal and external stakeholders
    • Working knowledge of local regulations, filing and compliance requirements related to benefits administration and policy
    • Working knowledge of COBRA, HIPPA, FMLA, ERISA and all IRS benefit related regulations.
    • Understands the setup and configuration of all benefits related tables in ADP Workforce Now and can troubleshoot issues to identify root cause(s).

    • Occasional evening and weekend work may be required as job duties demand and may include little to no advanced notice
