    Job Description

    JOB TITLE: Caduceus Exams - Exams Administrator

    DEPARTMENT: Caduceus Exams

    SCOPE:

    This position is responsible for providing basic administrative support to Caduceus Exams. team members on a medical exam or drug screening program within Exam Management. Interacts daily with other Exam team members and provider network partners. Reports to the Director, Caduceus Exams.

     

    DUTIES AND RESPONSIBILITIES:

    • Responds to prompts from Medical Exam Tracking System (METS) and supporting software to process examinations from scheduling appointments, tracking progress and recording final status for billing.
    • Assembles the various components as exams are scheduled to include drug screen kits, phlebotomy kits, exam paperwork and instructions specific to the examination.
    • Maintains supplies that constitute the exam kits (components, screening kits, exam paperwork) to support the activities of department Client Service Administrators (CSAs) and management.
    • Contacts examinee and facility to schedule requested examinations (varies by contract).
    • Contacts providers regarding missing or incomplete examination results.
    • Performs courier-related activities within department or throughout Exam
    • Management to include tracking and distribution of exam results to correct medical review personnel, etc.
    • Files, scans, and retrieves exam results to include laboratory, medical, and final determinations.
    • Escalates examination issues to the CSA, APM, or PM.
    • Demonstrates consistently thorough, professional, and gracious customer service (internal and external).
    • Processes inbound phone calls, faxes, and mail.
    • Other duties as assigned.

    OTHER DUTIES:

    • May participate in interdepartmental project groups or task forces to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specific level of knowledge pertaining to new developments, new task efforts, contract awards, and new policy requirements.
    • Performs duties in a safe manner.
    • Follows the corporate safety policy. Participates and supports safety meetings, training and goals. Ensures safe operating conditions within area of responsibility. Encourages co-workers to work safely. Identifies “close calls” and/or safety concerns to supervisory personnel. Maintains a clean and orderly work area.
    • Assists in active implementation of company initiatives to ensure compliance with OSHA VPP, ISO, JCAHO, AAAHC, and other mandated regulations and standards.
    • May serve on the OSHA VPP, Safety, and Wellness Committees.

    Required Skills

    • High School diploma required.
    • Basic knowledge of office equipment and word processing software required, including MS office products.

    Required Experience

    • Must be able to multi-task, be detail-oriented, organized, and have strong oral and written communication skills.

    PREFERRED EXPERIENCE:

    • 0-1 year of office experience preferred. Experience with medical terminology a plus.
