    The GLOBAL ENGAGEMENT OFFICE invites applications for a GLOBAL ENGAGEMENT OFFICE MANAGER AND ENGLISH LEARNING INSTITUTE PROGRAM MANAGER (PROGRAM MANAGER). This position will report to the Senior International Officer & Executive Director of the Global Engagement Office and oversee the operations and administrative support for the Global Engagement Office. The position performs a wide range of complex administrative tasks, oversees daily office functions, and provides routine frontline contact with internal and external constituents. The position will assist in the development and implementation of programs and services that enhance the mission and goals of GEO. The person assigned to this position is not responsible for the management or supervision of classified staff or contract professional employees; but will be responsible for interviewing, hiring, and supervision of student workers serving as front desk staff.

     

    This position requires incumbent to develop a working knowledge of department and the duties performed by others in the unit; applicable federal and state regulations; current FERPA regulation and confidentiality requirements; University of Montana policies, procedures, practices, and resources; and completion of UM PI grants training and FERPA training.

     

    Global Engagement Office Manager specific duties include:

    • The incumbent will be required to draft correspondence, press releases, and marketing materials for GEO and its unit
    • Develop and maintain the GEO website
    • Coordinate departmental events, which may require scheduling rooms, technology, catering, and collaboration with other University departments or offices
    • Prepare reports, collect and analyze data
    • Maintain confidentiality in the activities and matters of the SIO
    • Other duties as assigned by the SIO

     

    English Language Institute Program Manager specific duties:

    Special program duties (including Hubert H. Humphrey Fellowship):

    • Prepare for student/scholar arrivals
    • Accompany students/scholars on trips when necessary
    • Assist in arrangement of housing, on-campus activities and events

    Assist in writing grant applications and supporting materials that fund special language programs

    Prepare enrollment reports and identify trends by comparing statistical reports

    Update student records based on English language test scores

    Assist in the creation and facilitation of workshops and information sessions at ELI orientation events

    Coordinate and implement ELI student events

    Handle logistical arrangements for the department by organizing meetings

    Identify classroom needs and makes classroom reservations for each semester

    Secure classrooms, computer labs, and other venues for exams, registration sessions, and events each semester

    Prepare final certificates for ELI students

    Update all English Language Institute policies and procedures and ensure changes are reflected accurately

    Attend and take minutes for regular ELI faculty meetings and other meetings as requested

    Update and maintain ELI website

    Answer questions appropriately by telephone, walk-in, and email inquiries

    Assist with special projects for the office as assigned by the ELI Director

     

    Required Skills

    • Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals
    • Ability to work effectively in a team environment and independently to handle multiple priorities and projects
    • Attention to detail and organizational skills
    • Ability to problem-solve and handle conflicts and difficult situations in a professional manner with proper treatment of confidential information
    • Intermediate computer skills in word processing and data entry
    • Ability to learn to operate new software systems
    • Demonstrated skill in business English, spelling, grammar, composition, proofreading and ability to create, compose, and edit complex materials
    • Demonstrated skill in gathering, analyzing, and interpreting statistical data
    • Ability to learn Banner and/or UMDW for data viewing, collection, and entry
    • Ability to learn and use Moodle system for maintaining ELI student records
    • Successful completion of UM PI grants training
    • Basic supervisory skills for working with student employees and interns
    • Ability to work limited evening or weekend hours

     

    Minimum Required Experience

    • High school diploma (or equivalency) in addition to two (2) years of closely related experience; or any combination of experience and education to perform the duties and responsibilities of the position.

     

    Preferred Qualifications

    • Bachelor’s degree
    • Experience/Interest in working with international students
    • Knowledge of applicable federal and state regulations
    • Ability to obtain and maintain a valid driver’s license in order to drive UM vehicles for guest visits

    Position Details

     

    POSITION TITLE:                    OFFICE MANAGER/PROGRAM ASSISTANT

    POSITION NUMBER:              NEW

    DEPARTMENT:                       Global Engagement Office

    WORK SCHEDULE:                 1.0 FTE (40 Hours a week), Monday through Friday, 12 months/year. Position is required to work an alternative work schedule, including some evening and weekend hours.

    SALARY:                                $18.35/HR –Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department.
