    California Accounting & Tax, Inc. (CaAccounting) recently opened a new office in Citrus Heights, CA (Sacramento area) to service the local community. We pride ourselves on hiring locally staff to provide outsourced accounting, payroll and tax services to small to medium sized businesses, non-profits, and individuals. Our team of accounting and tax professionals work together on multiple clients in various industries. CaAccounting is an affiliate of The Hawaii Group, Hawaii’s leading business process outsourcing firm, which also owns Hawaii Accounting (HiAccounting).     California Accounting has locations in Citrus Heights, Folsom, Lafayette, Lakeport and San Mateo (future location).

    OFFICE AMBASSADOR/ADMINISTRATIVE RECEPTIONIST

    POSITION SUMMARY

    We are seeking a bright and cheerful candidate to join the Citrus Heights office team as our Office Ambassador/Administrative Receptionist. The Ambassador/Receptionist is primarily responsible for being a positive and welcoming touch point between the company and our clients and vendors. Additionally, the Ambassador/Receptionist functions to support the tax, accounting and payroll with their administrative needs. The ideal candidate understand the importance of client perception and hospitality and is self-driven, passionate and client service focused.

    ESSENTIAL FUNCTIONS

    Provides professional and hospitable welcome to all visitors, clients and vendors.

    Answers and routes all incoming calls accordingly.

    Manages conference rooms, calendars, and client scheduling needs.

    Plans and coordinates hospitality activities for training and meetings.

    Collects, organizes and prepares both incoming and outgoing mail.

    Assists staff with outside reservations as needed (i.e. breakfast/lunch/dinner).

    Coordinates food for team meetings and celebrations.

    Maintains internal and external contact lists to include phone extension, email, birthdays, anniversaries, etc.

    Monitors, tracks and reorders office supplies and snack foods for office staff as needed.

    Office and break area organization and maintenance.

    Helps with special projects as needed (i.e. build binders, draft communications, and maintain client files).

    Assists management with administrative tasks as needed (i.e. scanning, faxing, expense reports).

    Ability to organize and prioritize work and frequently communicates status as needed.

    Self-driven and takes initiative, operating under minimal supervision.

    Protects organization’s values by keeping client and staff information confidential.

    Actively contributes to the overall positive culture of the company through a positive and willing attitude.

    Ensures work is performed in compliance with the company’s established policies and procedures.

    SKILLS & ABILITIES

    The ideal Ambassador/Receptionist is professional, familiar with general office hospitality and can operate in a fast-paced, client focused environment. This person will meet most or all of the following requirements:

    Education & Experience: High school degree or equivalent. Associates or Bachelor’s degree in business administration, or equivalent business experience preferred.

    Computer Skills: Proficient knowledge of Adobe Acrobat and MS Office, including Word, Excel, PowerPoint and Outlook.

    Other Requirements: Strong organizational skills, attention to detail, self-motivated, has ability to multitask and prioritize. Efficient communication skills both verbal and written. Perform other duties as required.
