POSITION TITLE: FRONT OFFICE RECEPTIONIST
SUMMARY
Responsible for answering the company phones and greeting visitors. The Receptionist will serve as the first point of contact for visitors and callers to California Box Company. Receptionist will provide administrative support to Office Manager, as well as other departments when needed. S/he will provide excellent customer service while maintaining discretion and confidentiality.
This position reports to the Office Manager.
DUTIES AND RESPONSIBILITIES
Answer the phones in a friendly, helpful, and efficient manner.
Greet vendors, customers, applicants, etc. and direct them to the appropriate company personnel.
Keep track of the whereabouts of key personnel and process their calls and messages.
Open and distribute company mail and assist Executive Assistant and accounting area with filing.
Provide back-up support for Executive Assistant.
May have certain accounting / bookkeeping functions.
Comply with company policies and procedures.
Additional duties as assigned by management.
EDUCATION AND/OR EXPERIENCE
Candidates are PREFERRED who offer the following:
At least 6 or more months of experience as a front desk receptionist.
Two or more years experience with MS Word and knowledge of MS Excel
Self-motivated; ability to work with minimal supervision
Spanish as an additional or second language
LANGUAGE SKILLS - Excellent speaking, writing and phone communication skills.
PHYSICAL DEMANDS
Employee is regularly required to walk and talk and hear. The employee is frequently required to sit and stand. Vision requirements include: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the functions of this job.
While performing the duties of this job, the employee is frequently exposed to wet and/or humid conditions, moving mechanical parts, and fumes or airborne particles. The noise level in the work environment is usually loud.
WORK SCHEULE
Monday through Friday, 8:00am to 5:00pm.
PERFORMANCE MEASUREMENTS
The performance of the Receptionist will be measured as follows:
Operating standards - The employee will need to meet or exceed the Operating Standards set in the area of administration. Such standards will be set annually and communicated to the assistant.
Personal growth - Each year there will be professional goals developed and agreed to by the assistant and President.
Employee relations – The employee will be evaluated regarding behaviors associated with appropriate human interaction, respect and communication and ability to exercise discretion.
