    EMPLOYMENT CATEGORY: Exempt

    LOCATION: Once COVID restrictions are lifted, all work for the position will be performed in the Conference Center office in Pasadena. Until that time, the position may be partially remote to accommodate the Conference Center’s social distancing protocols. Please note that relocation is not provided.

    POSITION PURPOSE AND OVERVIEW

    Supervises, guides and supports the job duties of the accounting assistant, bookkeeper and receptionist. Responsibilities include cooperation with appointed outside auditors, investment managers, General Agencies, Conference agency staff and committee members.

    SUPERVISED BY: Conference Treasurer/Executive Director of Finance & Facilities (EDFF)

    SUPERVISION RESPONSIBILITY FOR: Full-charge Bookkeeper, Receptionist, and Accounting [& Facilities] Assistant: (Facilities duties of this position are supervised by the EDFF.)

    ESSENTIAL FUNCTIONS

    1. Responsible for the fiscal control and accounting for the Annual Conference funds. Maintains accounting records and systems in accordance with generally accepted accounting principles utilizing program software.

    2. Responsible for month and year-end closing pertaining to A/R, A/P, the Remittance module, Loan module, and related general ledger.

    3. Responsible for monitoring and maintaining financial and system integrity for all subsidiary ledgers for A/R, A/P, the Remittance module and the Loan module.

    4. Provides appropriate analyses and reports to the EDFF concerning the status of the accounts of the Annual Conference.

    5. Reviews assigned journal entries, A/R, A/P, Remittance Edit Reports; posts where necessary.

    6. Provides timely and accurate financial reports and analyses to the EDFF, as well as to the administrative, and program staff.

    7. Develops and maintains consistent and relevant formatting in all reporting, ensuring correct spelling, and color-coding where needed.

    8. Measures actual financial performance against budget and interprets results of operations for other managers and employees.

    9. Creates, maintains and implements a calendar for internal and external deadlines in collaboration with the EDFF and the entire staff of the EDFF’s office.

    10. Creates special report designs from the ShelbyNext accounting system.

    11. Provides financial information to the general agencies of the denomination as required by the Book of Discipline of the UMC.

    12. Facilitates the annual audit of Conference financial records by independent certified public accountants.

    13. Prepares numerous audit confirmation letters and year-end journal entries to accrue expenses and revenue. Will serve as the point person for the annual year-end external audit.

    14. Supervises the accounting for clergy moves, including payment to moving companies and billing of clergy as needed.

    15. Supervises the maintenance of the daily cash receipt log as performed by the receptionist.

    16. Performs monthly bank reconciliation using the Bank Management module.

    17. Ensures that balances in the A/R, A/P and Remittance modules are reconciled with the general ledger by appropriate staff.

    18. Prepares and maintains numerous California-Pacific Annual Conference (Cal-Pac) credit profiles for use in obtaining credit at hotel and car rental agencies, etc. Collaborates with EDFF’s Assistant to issue new credit cards or discontinue cards upon termination, resignation or other events.

    19. Participates in meetings and answers questions from Cal-Pac boards, agencies, employees, and vendors.

    20. Acts as back up to the Payroll Administrator to process payroll through ADP System.

    21. Performs any other duties assigned by the EDFF.

    • Knowledge of and experience with, or willingness to learn about, government requirements relating to financial administration, such as IRS mileage requirements and Form 1099 reporting.
    • Able to use standard office equipment including but not limited to: computer, printer, fax machine, copy machine.
    • Ability to type with accuracy.
    • Must be detail-oriented and possess a strong propensity for accuracy.
    • Must be organized and have the ability to prioritize varied/multiple tasks for maximum efficiency.
    • Must be able to work with and meet deadlines.
    • Sensitivity to, and willingness to interact with, persons of various social, cultural, economic and educational backgrounds.
    • Familiar with non-profit organizations and fund accounting.
    • Knowledge of or ability to learn about The United Methodist Church processes as well as the organization and policies of the California-Pacific Annual Conference.

    EDUCATION

    Bachelor’s degree in accounting or equivalent.

    EXPERIENCE

    Must have at least five years of general accounting experience that includes two years of staff supervision.
