    JOB DESCRIPTION

    The People Operations Specialist  is responsible for providing a wide range of People support to the organization.  Candidly is looking for an People Operations Specialist to support the day-to-day operations of the People function including policies, procedures and programs, Human Resource Information Systems (HRIS), new hire orientation, employee onboarding and offboarding, training and development, benefits and employee information changes.

    A key responsibility for this position is to support back-end processes and the personal and professional development of the organization’s personnel, which involves employee orientation, development and training. The People Operations Specialist develops and coordinates the implementation of services, policies, and programs.

    The incumbent will be a resource for employees and managers with questions about  programs/processes, providing highly trusted and value-added customer service. The nature of their work is highly confidential requiring a high degree of tact, judgment, and accuracy in addition to close collaboration with other teams including Finance, payroll and recruiting.

    KEY RESPONSIBILITIES

    • Coordinate and conduct new employee onboarding including I-9 verifications, benefits, and time management.
    • Support benefits administration processes, including onboarding and annual open enrollment
    • Manage all leaves of absences and all related communication with the leave vendor
    • Research & respond to People and employee-related questions from employees, managers, and leaders
    • Monitor and maintain employee data and records to accurately reflect a changing organization
    • Create, route, file, audit, & enter employee changes in the HRIS system
    • Member of the Payroll team that  ensures timely and error free payments
    • Audit employee data in the HRIS to confirm data integrity, prepare and distribute metrics to evaluate effectiveness of processes
    • Assist in PTO administration; ensure that employees properly track PTO time taken, and calculate accruals based on company policy
    • Assist in the performance appraisal system that drives high performance; support employees in developing individual goals, objectives, and systems
    • Support legal compliance by partnering with VP,  People & Payroll, monitoring and implementing applicable human resource federal and state requirements, maintaining records, conducting audits, and recommending corrective action
    • Generate regular and ad hoc reports, dashboards from various systems
    • Experience working with various systems: background checks, HRIS/Payroll, Time Clock, Performance Management, Excel, Powerpoint, Google Slides, Word, Google Calendar, Google Drive
    • Policy and Systems Administration: Answer employee questions about guidelines, procedures and regulations
    • Maintain employee records and administrative protocols and perform audits of systems for accuracy
    • Update HRIS for employee data, changes, announcements and important policies
    • People Programs: Coordinate activities and programs; including awards and recognition programs, employee birthdays, volunteering program, , wellness initiatives, holiday parties, and company-wide meetings
    • Onboarding: Coordinate background screenings, draft offer letters and assist hiring managers in interviewing process and compensation management
    • Benefits: Counsel employees on plan provisions, including medical, dental, vision, 401K plans so that individuals can make informed benefits decisions
    • Reports: Generate reports on a regular basis to identify and monitor issues related to employee's FMLA leave, short and long-term disability, disciplinary actions, training, diversity and any investigations, ensuring full adherence to administrative procedures
    • Research and analyze trends and make recommendations for process and program improvements
    • Assist in L&D initiatives, training compliance, administration of e-learning courses, publishing learning material and recording attendance
    • Coordinate with the Talent Acquisition Team ensure efficient and accurate hiring process 
    • Assist with the administration of employee benefits and policies, conducting employee onboarding and orientation, managing employee relations issues, and assisting with the development and implementation of policies and procedures

    WHAT WE ARE LOOKING FOR:

    • Minimum 5 years in HR/People administration
    • Understanding of HR/People terminology and business practices
    • Working knowledge of federal and state labor laws
    • Experience with benefits, compensation, health care, payroll, and related People topics
    • Knowledge of human resources management and relevant state and federal laws, regulations, policies, and procedures, workers compensation
    • Strong attention to detail
    • Team player who thrives in a small fast paced environment
    • Demonstrated problem solving and solutioning in a fast-paced environment
    • Excellent time management, customer service, and follow-up skills
    • Candidates must be comfortable navigating difficult and/or challenging situations with composure and tact
    • The ability to work well independently and lead small groups is important
    • Key attributes also include the ability to be flexible, adaptable, and accept change positively and inspire the same in others
    • Must be detail-oriented, have a strong technical base knowledge and excellent customer service skills
    • Resourceful - able to identify and solve issues and bring to managers attention
    • The ability to handle confidential information with discretion
    • Analytical and detail-oriented approach
    • Able to effectively prioritize multiple tasks in a fast-paced, customer service-oriented environment
    • Experience learning new concepts, workflows, processes, and products, translating them into digestible content
    • Experience working on a team with ambiguity and evolving responsibilities
    • Experience developing, implementing and scaling knowledge management frameworks
