Payroll and Benefits Specialist (US Region) at Capillary Technologies
The payroll and Benefits Specialist role entails crucial responsibilities, including overseeing diverse HR functions, ensuring adherence to state regulations, and providing support to our US employees. Responsibilities:
- Payroll Processing: Oversee and manage the end-to-end payroll process for employees in the US, ensuring accurate and timely salary disbursements. Collaborate with finance and relevant teams to address payroll-related queries.
- Employee Benefits Administration: Administer employee benefits programs, including health insurance, retirement plans, and other employee welfare initiatives. Educate employees on available benefits and assist with any inquiries related to benefits enrollment.
- State-specific Employee Registration: Ensure compliance with state regulations by managing the employee registration process in each state where we have a presence. Stay updated with state-specific employment laws and requirements.
- State Tax Compliance: Collaborate with the finance team to ensure accurate and timely filing of state tax requirements related to employee compensation and benefits.
- HR Policies and Procedures: Assist in the implementation and communication of HR policies and procedures to ensure consistency across the organization and adherence to legal requirements.
- Employee Onboarding and Offboarding: Facilitate the onboarding process for new hires
- HR Compliance: Ensure compliance with federal and state employment laws and regulations. Keep abreast of changes in labor laws and work with the HR team to update HR policies and practices accordingly.
- HR Data Management: Maintain accurate and up-to-date employee records, including personal information, benefits, performance reviews, and leave management.
- HR Reporting: Generate HR reports and metrics to provide insights to management and support strategic decision-making.
- HRMS: Be the technical expert and administrator for the US HR systems.
- Responsible for system maintenance and technical support
- Process data request changes to ensure accuracy and integrity
- Identify opportunities within the system to improve HR processes and increase efficiency
- Create effective ad-hoc and custom reports
- Work with vendors to modify existing or set up new insurance carrier interface files
Requirements:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 5+ Years of experience as a Payroll and Benefits specialist in the US region.
- In-depth knowledge of payroll processes, employee benefits administration, and state-specific employment regulations.
- Familiarity with state tax compliance related to employee compensation and benefits.
- Strong understanding of HR policies, procedures, and best practices.
- Excellent interpersonal and communication skills with the ability to work effectively with diverse teams.
- Detail-oriented, organized, and able to prioritize tasks in a fast-paced environment.
- Proficiency in HRIS and payroll software is desirable.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- SHRM or HRCI certification is a plus.
