Travel Coordinator
We’re hiring a Travel Coordinator that will serve as a travel expert and manage the efficiency and scheduling of business travel for Capstone Fire and Safety Management. The Travel Coordinator will negotiate travel rates in accordance with the Company’s client contract while partnering with internal departments to manage the scheduling and cost of travel for staff.
Responsibilities:
Coordinate Travel
Coordination/execution of travel scheduling
Management of accounts payable in relation to business travel (reviewing & approving invoices, requesting payment, etc.)
Establish relationships with internal staff to ensure open communication
Implement travel related cost saving initiatives and employ best practices for consistency and efficiency
Maintain direct bill hotel list, travel log, travel files/forms, travel site on company intranet, etc.
Assist in reviewing and revising travel policy
Provide travel training to new Program Directors once monthly
Contract Management
Manage travel provisions provided in all client contracts; abiding by those guidelines when booking travel and communicating guidelines to staff
Main point of contact for travel vendors
Negotiation of all pricing/rates related to business travel (airfare, car service, hotel, etc.)
Minimum Required Qualifications:
Education
High school diploma/GED required
Associates Degree or Bachelor’s Degree in Communications, Hospitality or Marketing preferred
Experience
Working knowledge of the travel industry, including airline and other reservation systems preferred
3-5 years of travel and/or hospitality industry related experience preferred
Prior experience managing contracts/vendors, preferred
Skills
Strong verbal and written communication skills; ability to interact at all levels within the organization
Demonstrated experience using Microsoft Office Suite and Internet Explorer
Organized and detail oriented
Positive attitude
Negotiation skills
Must be readily available and responsive to internal/external requests
Team player, willing to partner with other departments and assist where needed
Ability to multi-task
Superior problem-solving skills
Ability to prioritize and manage time
Must be a self-starter, be able to work independently, and proactively seek out new ways of looking at things
Presentation skills and ability to conduct stand up training
