    POSITION SUMMARY

     

    This position is responsible for providing a variety of highly responsible, confidential, and complex administrative work in support of the Director of Development for the Foundation. This position has direct responsibility for carrying out the administrative management and technical duties of the office and is responsible for preparation, analysis and monitoring of office budgets, including acquisition and maintenance of equipment and supplies, and is responsible for hiring, training and leading office support staff. This position will also be responsible for accurate transactional processing and data entry of highly-sensitive, confidential personnel and donor information into the comprehensive Foundation database system.

     

     

    ESSENTIAL FUNCTIONS OF THE JOB 

     

     

    • Developing, analyzing, reviewing, and implementing office procedures.
    • Efficiently enters and maintains data into Customer Relationship Manager (CRM) database (Colleague) with high degree of accuracy.
    • Monitoring office expenditures.
    • Interpreting and applying department and college regulations, policies and procedures.
    • Understands and applies office policies, procedures, and practices associated with the specialized nature of the department or division.
    • Responds effectively to inquiries from customers regarding departmental procedures or services.
    • Utilizes knowledge and understanding of underlying operational issues and established department/division policies and/or dictation to compose and edit technical and/or administrative correspondence, documentation and complex reports using a personal computer.
    • Oversees and/or performs specialized recordkeeping requiring compilation and classification of varied information, data collection and database management, and/or specified information-gathering projects and tasks associated with department or division internal and external reporting or compliance requirements.
    • Manages administrative activities and maintains workflow of the department or division in the Manager’s absence.
    • Provides and/or oversees support activities for the department or division such as answering telephones, resolving and/or referring a range of administrative problems and inquiries to appropriate individuals, and following up on operational commitments.
    • Composes, prepares, or ensures timely responses to a variety of routine written inquiries.
    • Prepares, transcribes, composes, types, edits, and distributes agendas and/or minutes of meetings as required.
    • Adapts or modifies existing office processes to accommodate new procedures or methods.
    • Trains others on office processes and procedures, equipment, and software.
    • Maintains a comprehensive Customer Relationship Manager (CRM) system for the Foundation department.
    • Manage, track, and report gifts and donations.
    • Generates monthly, annual, and ad-hoc data and donor reports.
    • Handles highly-sensitive and confidential data.
    • Reviews the data received for discrepancies; requests clarification or advises customers of issues related to the data and performs data verification.
    • Provides technical support and troubleshooting for gift acknowledgment and gift processing.
    • Provides consistent excellent customer service and professionalism.
    • Coordinates administrative office functions and special projects.
    • Answers phones – screens/directs incoming calls, takes messages, makes appointments, and greets walk-in customers.
    • Composes and edits official correspondence, reports, research papers, and other complex and confidential documents.
    • Conveys by words and action the values expected by CWI.
    • Performs other duties as assigned.

     

    MINIMUM QUALIFICATIONS

     

    • Associate’s degree, or certification from a two year college, or professional technical school or program, and three years of related experience Five years of related experience preferred.
    • Strong interpersonal skills and proven ability to develop and maintain collegial relationships. Must be flexible, collaborative and have a positive attitude.
    • Proven ability to work independently and handle multiple priorities within a complex office environment.
    • Well-developed problem solving skills and ability to plan, organize, and complete complex tasks.
    • Ability to write original instructions, reports, and other routine business correspondence and memorandums.
    • Strong working proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook, etc.).
    • Minimum one year of direct database entry experience required. Two years of experience preferred.
    • Exceptional verbal and written communication skills and the ability to type 50 wpm.
    • Ability to effectively present information and respond professionally to questions in one-on-one and in group situations.
