    ESSENTIAL PURPOSE: Administrative support to the Sales and Catering Team

    ESSENTIAL DUTIES: The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.

    Answers telephone and respond to caller inquiries.

    Accurately records messages for staff and distributes written messages to the staff member’s office in a timely manner.

    Greets and directs all walk in guest.

    Creates files for ‘Definite’ Sales & Catering events.

    Distributes definite contracts to all appropriate departments.

    Maintains filing system and ensure files are correctly put away and up to date.

    Maintain and stock menus and collateral and Sales/Wedding kits.

    Keep collateral well stocked in office, sales & catering office, front desk, tasting room.

    Manage the mail distribution as needed (stuffing envelopes, printing label and handling special itemized packages)

    Meeting minutes for weekly sales meeting.

    Orders and maintain office supplies and equipment.

    Accurately complete distribution of BEO’s, 10 day catering report, in-house reader borad, change log and contracts on a daily basis using the correct office procedures.

    Maintain the BEO book to show most updated information.

    Assists in negotiating contracts and maintains relationships with vendors including but not limited to rental companies, entertainment suppliers, and transportation companies.

    Maintain the organization and tidiness of the Sales & Catering Office

    Maintain the back office/organizing etc.

    Other Duties as assigned by manager.

    JOB KNOWLEDGE: High School Diploma or equivalent. Two to four years of related experience or equivalent. Current knowledge of trends in sales, catering and event coordination.

    SKILLS AND APTITUDES: Detail oriented. Organized and efficient. Learns quickly. Safety-minded. High quality standards for production and service. Courteous and friendly manner. Good team player. Customer service focus. Able to work productively with little supervision. Trustworthy and reliable. Clean DMV record. Able to work varied schedules including weekends and Holidays.

    WORKING CONDITIONS: Works primarily indoors throughout shift. Bi-level structures. Extensive facility. Well lit room. Minimal exposure to hazardous substances and fumes. Possible exposure to blood-borne pathogens.

This means that the terms and conditions of employment may be changed, with or without cause and with or without notice, including, but not limited to termination, demotion, promotion, transfer, compensation, benefits, duties and location of work.
