Event Sales Coordinator-South Coast Winery Resort & Spa
South Coast Winery Resort & Spa is seeking an experience Event Service Coordinator to join the Sales & Catering Department. The ideal candidate will have previous special event experience.
SOME ESSENTIAL DUTIES INCLUDE:
· Follow All South Coast Winery Resort & Spa employee handbooks policies.
· Maintains strict confidentiality of operations and records.
· Provide excellent customer service to clients.
· Maintains client files and equipment in an orderly and professional manner.
· Listen to team members, customers and vendors to understand requests and provide accurate information and assistance and to ensure customer satisfaction.
· Assist other departments when necessary.
· Coordinates registration and payment procedures.
· Coordinates banquet services and guest accommodation needs.
· Maintains relationships with vendors including, but not limited to, rental companies, entertainment suppliers, and transportation companies.
· Ensures that all materials/equipment required for events are in place and rectifies any deficiencies.
· Prepares cover sheets, rooming lists and resume reports based on room blocks and customer information.
· Maintains timely and effective paper flow and communication within the sales and catering area, as well as with other departments.
· Acts as primary client contact for detailing group/event after Sales or Catering Manager receives signed contract.
· Attend weekly Forecasting meetings to communicate anticipated pick-up, schedule and trends to Revenue Manager and other departments.
· Develop and maintain strong interdepartmental relationships and open communication lines to assure efficient transfer of information.
· Accurately complete BEO's, and contracts on a daily basis using the correct office procedures and ensure all details are tracked and recorded in Delphi.
· Maintain Delphi database for all bookings, including blocking space and tracking accurate recording of revenues.
· Update business opportunities and status in Delphi system.
· Assist with amenities and welcome note cards.
· Conduct Site Inspections for potential clients in absence of a sales manager, and for all definite bookings.
· Coordinate show rooms, VIP amenities, and sales collateral requests as needed.
· Responsible for accepting and accurately recording payments for events and deposits.
· Support Sales Team as requested.
· Works with all departments to coordinate any special needs/request of clients including site inspections.
· Confer with guests and hotel department heads to plan function details such as space requirements, event location, and times of event(s).
· Coordinate client rental orders and vendors as needed.
· Coordinate Sales Department and other in-house events.
· Special projects or other duties as assigned.
