    Case Team Assistant- Administrative Coordinator

    Reporting to Chief Talent Acquisition Officer, of a Boston based Healthcare Consulting firm, the Case Team Assistant (CTA) supports the needs of a teams of consultants working on healthcare-related projects. Primary responsibilities include recruiting and scheduling domestic and international interviews with healthcare specialists, managing vendor relations, maintaining and updating internal databases, monitoring case budgets and expenses, arranging team travel and creating itineraries, and managing the administrative tasks associated with interviews, including proofreading case presentations.

    Case Team Support 

    - Case kickoff and closeout

    • Mine and maintain internal database and external resources for healthcare experts as needed
    • Maintain case summary database

    - Interviews

    • Send interview requests to healthcare professionals
    • Schedule interviews with healthcare professionals
    • Send W-9s and follow-up as needed
    • Update status of interviews
    • Ensure payments are made to experts
    • Assist with note taking in interviews as needed
    • Assist/set up recruiting with outside vendors as needed

    - Presentations/documents

    • Proofread case presentations
    • Ensure presentations follow designated style standards
    • Schedule internal case meetings
    • Communicate regularly with team on status of interviews, tasks assigned

    Case Team Eventsand Travel Support

    • Schedule conferences if team members are attending for client
    • Arrange case team travel and produce detailed itineraries
    • Prepare expense reconciliations

    Desired Skills & Experience

    • 2 +years experience in an administrative role
    • Expertise with Microsoft Office 2010, including Word, PowerPoint, Outlook, and Excel
