    ROLE: HR Assistant

    RESPONSIBILITIES:

    • Post and keep track of job postings for all open positions.
    • Conduct initial phone screenings of candidates when requested.
    • Work with hiring managers to coordinate and schedule interviews of candidates.
    • Ensure managers have an active pipeline to recruit for high turnover positions.
    • Organize and maintain internal personnel records.
      • Perform HR file audits to ensure that all required documents are collected and are maintained in employee files. File audits should be done at least annually.
    • Provide administrative and organizational support for senior HR professionals 
    • Assist in the New Hire process ensuring everything runs smoothly
    • Take minutes and maintain Teams notes
    • Ensure New Hires are onboarded and enroll in benefits in a timely manner
    • Coordinate the Termination process/paperwork of team members with their managers and make sure all system and email access are terminated and proper personnel is notified that team member is no longer with the company.
    • Maintains employee confidence and protects operations by keeping human resource information confidential.
    • Schedule meetings, interviews, HR events and maintain agendas.
    • Properly record and report complaints and grievance to HR manager and employee files if applicable
    • Deal with employee requests regarding human resources issues, rules, and regulations
    • Coordinate HR projects (meetings, training, surveys etc) and take minutes
    • Maintain employee confidence and protects operations by keeping human resource information confidential.
    • Assist and support the Human Resource Manager with duties as requested.
    • Support Office (Corporate) New Hires
      • Work with Admin to ensure workstation equipment is set up (computer, phone, office supplies, branded items, etc.) and ensures area for new team member is clean and ready for their first day
      • Work with Admin and Integritek to set up computer, email, phone extension, appropriate software, added to social email groups, Y drive access, etc.
      • Gather paperwork from Admin once new hire sign all needed custodian forms for equipment/keys
      • Work with Admin on WISE Onboarding and Offboarding checklists for Support new hires
      • When team member is terminated, gather paperwork from Admin on collected equipment/keys, etc.
    • CLEAR PM Sites
      • Enter monthly commissions, ACM bonuses, and quarterly bonuses for payroll.
      • Record/book payroll into Yardi for accounting to reconcile.
      • Work with Accounting to ensure proper financial recording of payroll.
      • Maintain HR records for Site team members by recording hiring, transfer, termination, change in job classifications, and pay increase dates, etc.

    • Able to work across multiple companies/departments

    • Good time-management skills
    • Ability to quickly grasp multiple software programs
    • Know and abide by the confidential nature of Human Resources

     EDUCATION AND EXPERIENCE:

    • High School Diploma Required
    • College Degree Preferred
    • Experience as an HR assistant 
    • Exposure to payroll practices

     COMPENSATION:

    • $40,000 - $45,000 Exempt
