    Job Description

    The Billing Coordinator plays a crucial role in ensuring the firm's billing processes run smoothly and accurately. In this position, you will be responsible for processing billing transactions, maintaining electronic billing systems, and resolving billing inquiries and issues in collaboration with attorneys and administrative staff.

    Your day-to-day duties will involve processing requests for pro forma invoices, bill edits, and final client invoices. This includes tasks such as narrative editing, time/cost transfers, hour and value adjustments, and processing unbilled write-offs. You will work closely with our attorneys and their assistants to run proformas, answer questions, and resolve any discrepancies.

    This role requires a strong attention to detail, excellent communication skills, and the ability to work effectively across teams and with clients when needed. You will be an integral part of our billing operations, ensuring invoices are accurate and delivered on time.

    Duties and Responsibilities

    • Process pro forma requests, bill edits, and invoicing transactions (narrative edits, transfers, adjustments, write-offs)
    • Manage electronic billing systems, validating entries and maintaining documentation
    • Set up and maintain special client billing rates and formats per attorney requests
    • Review and process unbilled write-off requests
    • Interface with client billing portals and applications
    • Assist attorneys/staff with billing issues and respond to client inquiries
    • Run monthly proforma invoices and additional proformas as requested
    • Support implementation of new billing system, including data validation, testing, and training
    • Collaborate with Billing Manager on projects and reports as assigned
    • Other duties as required

    Required Experience/Skills

    • 2+ years of billing experience in a professional services firm (legal experience strongly preferred)
    • Proficiency with legal billing software (Elite Enterprise and/or 3E experience desired)
    • Strong skills in Microsoft Office apps (Outlook, Word, Excel)
    • Excellent problem-solving and issue resolution abilities
    • General understanding of accounting principles
    • Outstanding written and verbal communication skills
    • Exceptional attention to detail and commitment to accuracy
    • Ability to work effectively across teams and with clients

    Nice-to-Haves

    • Interest/passion for the legal industry
    • Familiarity with related software tools
    • Prior experience in a law firm environment

    Education

    • High school diploma required, some college coursework preferred
