Responsibilities: The catering sales manager is responsible for all aspects of selling and planning meetings, banquets, shows, receptions, and other events in the hotel’s function rooms. The catering sales manager also supplements the hotel's sales efforts by making sales calls. The catering sales manager functions as a liaison between clients and the hotel staff. He or she coordinates all aspects of group events and distributes important planning information to hotel supervisors and department heads. The catering sales manager is also responsible for improving revenues and profits from the meeting room and banquets. Catering sales managers have the following responsibilities: • Represent the hotel with enthusiasm, professionalism, and a business-like appearance and demeanor to all hotel guests, clients, prospective clients, agents, and to the community. • Be knowledgeable about hotel features, amenities, and services for our hotel and our competitors. • Assure that customer contracts are executed on a timely basis. • Adhere to all Company policies and procedures. • Actively participate in community civic, charitable, and professional organizations in ordercommunity service, gain a high profile for the hotel, develop personally, and develop professionally. • Review and be knowledgeable of the information contained in the circulated management reports and financial statements. • Participate in job-oriented continuing education programs. • Maintain the confidentiality of proprietary Company information, including, but not limited to, hotel performance statistics, information about agreements with clients, information about prospective business, hotel financial information, and employee personal and salary information throughout and after employment by the hotel. • Assure us that all group meetings and banquets are timely, meet all the customers' expectations, and meet our quality standards. • Maintain a strong, results-oriented work ethic, be cheerful, and work in an organized manner. • Be knowledgeable of competitors, including visiting and keeping records on specific competitors to the degree required in our competition analysis policies. • Achieve and exceed personal sales goals as set forth in this position’s Standards of Performance. Sales duties: • Receive, review, and set trace dates for event contracts. • Enter event bookings into the event-management software. • Confirm deposit, prepayment, and credit arrangements with all event clients in accordance with the Company’s deposit and credit policies. Immediately report any on-the-job injuries to the general manager. • Contact all event clients on the events' trace dates to arrange for menu planning and other details. • Provide event clients with catering information when needed. • Distribute completed event orders and other written information to all affected department heads, supervisors, and clients. • Assure that clients sign all Event Orders. • Gain the guaranteed cover count for all banquet functions, being certain that each client understands the banquet guarantee policy. • Order events’ supporting equipment, supplies, and decorations from approved hotel vendors, including, for example, audio-visual equipment, flowers, dance floors, and special linens. • Maintain communication with the reservations department and the front desk regarding arrivals, departures, cancellations, billing, and special needs for guestrooms related to function-room events. • Schedule, announce, attend, and participate in planning meetings for events in function rooms. • Schedule, announce, attend, and participate in post-event critique meetings. • Coordinate between the client and the accounting department on direct billing and payment issues. • Send thank-you letters after each event. • Send personal thank-you notes or letters to all clients and prospects who have toured the hotel, attended a client reception, attended a client meeting, etc. • Actively solicit local banquet, wedding, and meeting events, including making telephone solicitation calls and personal sales calls. • Conduct hotel site inspection tours with prospective clients. • Help plan and participate in special sales promotional activities, such as telemarketing, trade shows, direct mail, newsletters, broadcast e-mail, and sales blitzes. • Prepare and distribute sales reports. • Maintain a complete, accurate, and confidential computer database of hotel leads, prospects, and clients. • Maintain files and records on competitors. • Coordinate with outside caterers for the setting, service, and cleaning of function rooms for banquets and meetings. Qualifications: • Excellent leadership skills, analytical skills, and communication skills • Displays a proven track record of sales success • 3-5 years of catering and sales management experience. • Have access to a personal automobile during all business hours. Holds a current driver's license and automobile liability insurance and maintains a safe driving record. • Able to regularly perform out-of-town and some overnight travel for up to one week at a time. • Able to use personal computers with keyboard skills of at least 40 words per minute and knowledgeable with computer word processing and database management. Able to use calculators, multi-button telephones, and general office equipment. • High degree of communication and organization skills. Professional demeanor and attire. Good initiative and work habits. Flexible. Knowledgeable and skilled in sales presentation techniques. • Direct sales and telemarketing experience. • Able to safely lift 30 pounds. Able to safely assist with all of the physical requirements of meeting and banquet room setups and teardowns. Able to bend, stoop, reach, kneel, and squat for filing and using under-counter storage. Able to drive an automobile. • Knowledgeable on OSHA regulations, health department rules, fire department regulations, equal opportunity laws, disabled or handicap discrimination laws, and the Company's safety, security, and health policies as they apply to the department's operations and all aspects of accommodating guests. • Knowledgeable on the Americans with Disabilities Act of 1990 (ADA), its regulations, court interpretations, and related laws and regulations as they apply to accommodating guests and visitors.
