Position Summary
The Catering Sales and Guest Service Representative is responsible for driving catering sales while serving as a primary point of contact for guest and internal phone communications. This role plays a critical part in revenue generation, guest satisfaction, and operational communication by professionally handling incoming calls, converting catering inquiries into confirmed orders, and supporting restaurant teams with accurate, timely information.
This position requires strong communication skills, attention to detail, and the ability to balance sales focus with exceptional guest service.
Key Responsibilities
Catering Sales
Receive and respond to inbound catering inquiries via phone and email
Educate guests on catering menu options, pricing, portions, and service details
Actively convert inquiries into confirmed catering orders
Accurately enter catering orders into designated systems and ensure all details are complete
Communicate order details clearly to catering, kitchen, and operations teams
Follow up on catering leads, quotes, and pending orders as needed
Support catering sales goals and participate in sales incentive programs
Guest & Team Phone Support
Professionally answer and manage incoming phone calls from guests and team members
Resolve guest questions, concerns, and basic service issues or route them appropriately
Provide accurate information regarding hours, locations, menu items, pricing, and policies
Support internal team members by relaying messages and operational information
Maintain a calm, professional tone during high-volume or peak business periods
Accuracy, Organization & Communication
Maintain detailed and accurate records of catering orders and guest interactions
Ensure all catering orders are communicated clearly and on time to the appropriate teams
Follow company standards for order handling, guest communication, and data accuracy
Escalate issues or special requests to leadership when necessary
Qualifications
Previous experience in sales, catering, hospitality, or guest service preferred
Strong verbal communication and phone etiquette skills
Ability to multitask and remain organized in a fast-paced environment
Sales-minded with a focus on closing and follow-up
High attention to detail and accuracy
Comfortable working independently and as part of a team
Reliable attendance and schedule flexibility
Physical & Work Requirements
