    Job Description

    JOB PURPOSE: 

    Work as an integral part of the Client Services team as the primary contact for our Banking Network.  Assist clients with coordination of lab work and fat extraction for purpose of stem cell banking. Assist with coordination of stem cell therapy including preparing itineraries and schedules; assist with client travel arrangements as needed.

    JOB DUTIES:

    ·       Prepare weekly upcoming therapy checklist and new banker tracking spreadsheet.  Due by Friday EOD.

    ·       Coordinate with new clients to set up qualifying blood tests with Lab Corp.

    ·       Access Lab Corp’s  online portal to order lab test requisition.   

    ·       Upon receiving lab results (faxed or emailed), forward report to Chief Scientific Officer for approval to proceed with tissue extraction.

    ·       If labs approved, contact client to schedule their extraction.

    ·       Coordinate with Celltex Extraction Center (EC) located in area most convenient to client and schedule appointment.  Communicate with client via phone call or email via Mahler.  Send lab results to designated doctor and client. Continue additional communications with EC to assure they are knowledgeable about specific client/patient.

    ·       Prepare and send extraction kits and contents to EC one week or minimum 3-4 days in advance of extraction date.  Check inventory with EC to know number of kits they want to keep in stock.  Maintain stock of prepared kits at Celltex.

    ·       Communicate with QC Department to make sure extraction sample can be received for processing on day of extraction.

    ·       Coordinate extraction sample kits with doctors’ offices and advise Celltex courier/messenger of pickup time, if local.  If receiving via overnight shipper, monitor the airway bill to know when box is expected to be received at Celltex.  Notify Office Services to expect delivery.

    ·       Receive extraction sample, sign for it and deliver to QC Department immediately.

    ·       If labs NOT approved, let Sales/Client Services (Client Services Manager or Vice President of Client Services) know immediately so they can contact client.

    ·       IT IS MANDATORY THAT LAB RESULTS FOR COVID-19 TEST ARE RECEIVED ASAP.  PROCESSING WILL NOT BEGIN UNTIL NEGATIVE RESULTS ARE RECEIVED.  NO EXCEPTIONS.

    ·       After client has reached master bank stage, prepare and send banking certificates to clients

    ·       Manage (receive, upload and keep track of) required client information for client files

    ·       Prepare weekly overview and therapy schedule for therapy appointments

    ·       Perform Client Surveys (Post Therapy) – for Client Services using Wufoo web-based program

    ·       Prepare and send client daily itineraries for upcoming travel to Mexico.

    ·       Receive and respond to miscellaneous client communications.

    ·       Miscellaneous administrative tasks for Client Services Department.

    SKILLS/ QUALIFICATIONS:  Skilled to work with Microsoft Office and Google.  Time management essential, organizational and communication skills, teamwork and knowledge of general  database and Salesforce programs to upload all itineraries, enrollment documents for banking, lab results and any client correspondence. 

    EDUCATION/ EXPERIENCE: Required Bachelor’s Degree, preferably a Health Science degree, but Marketing, Business, and Management are all acceptable.  1 - 2 years’ work experience in the medical field or physician’s office, hospital or other medical facility lab. Previous medical supplies or device sales experience will also be considered.
