    ABOUT THE JOB

    CCI is looking for a dedicated, driven and organized Administrative and Operations Associate to support CCI's team and programs. The Administrative and Operations Associate will manage the day-to-day work of supporting CCI programs through operational, financial, and administrative tasks. This is a unique opportunity to be part of a collaborative team that is focused on achieving major improvements in areas such as cardiovascular disease prevention, trauma-informed care, opioid addiction treatment, social determinants of health, and population health.

    The Administrative and Operations Associate is a full time, non-exempt position that will report to the Senior Manager of Operations.  

    CCI WILL CONSIDER ALL APPLICATIONS RECEIVED BY 9 AM PACIFIC TIME ON OCTOBER 13, 2020.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • FINANCIAL PROCESSING — Processes accounts payable and receivables, manages the reimbursement process, and inputs transactions into financial software and Salesforce.
    • CONTRACT MANAGEMENT — Works with CCI team to develop, track progress, and execute contracts in coordination with fiscal sponsor.
    • COMPLEX SCHEDULING — Provides support to staff in scheduling complex meetings requiring multiple people.
    • MEETING PREPARATION — Assists with preparing agendas, minutes, and materials for in-person and virtual meetings.
    • GRANTS MANAGEMENT — Acts as primary liaison between program teams and Tides Center in processing grants-out requests, tracking progress of requests, and confirming payment and installments to grant recipients.
    • DATA ENTRY AND ANALYSIS — Is core member of Salesforce administrative team and completes data entry and analysis for different projects.
    • EXTERNAL PARTNER RELATIONSHIPS — Develops and maintains relationships with key external partners such as Tides Center, vendors, and funders.

    KNOWLEDGE, SKILLS, AND ABILITIES

    • Strong organizational and task management skills to plan and execute tasks.
    • Experience using information management tools, including Microsoft Office, with a strong emphasis on Excel, and Google Docs.
    • Ability to juggle and track multiple projects and requests at once.
    • Strong communication skills and close attention to detail.
    • Ability to anticipate problems and work towards resolution.
    • Ability to interpret a variety of administrative or facility issues, instructions, or needs in narrative or diagram form.
    • Experience working with diverse populations.     EDUCATION AND EXPERIENCE

    • Education – Bachelor's degree or equivalent work experience.
    • Experience – Must have familiarity with administrative tasks. Direct work experience in field is not required.
    • Excellent attendance history in prior positions.

    LOCATION

    The person in this role is expected to work from the CCI office in downtown Oakland in the long-term. However, in the short-term, CCI is allowing remote work from home. Exact expectations for work location (i.e., remote from home and/or at the CCI office) for the Administrative and Operations Associate will be determined upon hire.  We would consider long-term remote for an extraordinary candidate.

    COMPENSATION

    The annual salary range for this position is $50,000 to $70,000. Exact compensation will be determined based on a candidate's qualifications.

Employee must have the ability to attend meetings, sitting, listening, and computer work up to 8 hours per day.
