    ABOUT THE JOB

    CCI is looking for a passionate, organized, and self-starting Program Coordinator to support CCI's programs. The Program Coordinator will manage day-to-day tasks of our innovation, learning, and collaboration programs. This is a unique opportunity to be part of a collaborative team that is focused on achieving major improvements in areas such as cardiovascular disease prevention, trauma-informed care, opioid addiction treatment, social determinants of health, and population health.  

    The Program Coordinator is an exempt position and will report to a Senior Manager. 

    CCI WILL CONSIDER ALL APPLICATIONS RECEIVED BY 9 AM PACIFIC TIME ON SEPTEMBER 14, 2020. ESSENTIAL DUTIES AND RESPONSIBILITIES

    In this position you will focus on:

    • PROJECT TASK MANAGEMENT — Manage day-to-day activities of specific components of the programs from start to finish. This includes identifying and monitoring key tasks and timelines; being the primary contact for program participants; scheduling all program meetings and activities; preparing status reports; and developing and updating work plans in collaboration with the program teams. 
    • EVENT PREPARATION & SUPPORT — Work closely with CCI's Administrative Assistant, Events Coordinator, and Program Teams to help plan and support in-person and virtual events. Facilitate at conferences when needed. Act as the program logistical lead for events.
    • PROGRAM PLANNING & IMPLEMENTATION — Prepare project documents including meeting and conference agendas, presentations, and program-related materials. Update program websites and social media channels. Contribute to the strategy of monitoring programs and participant progress. Work with project team to identify potential topics and speakers.
    • DATA PREPARATION AND REVIEW— Input, analyze, and generate reports of program participation data (for example, attendance and overall ratings of learning events) Review results with program team to identify best practices and areas for improvement. 
    • GRANTS MANAGEMENT — Coordinate administrative activities related to grants management, as well as contracts with external partners and consultants.
    • SPECIAL PROJECTS — Conducts special projects as assigned. Actively supports colleagues and leadership with priority projects.

    KNOWLEDGE, SKILLS, AND ABILITIES

    • Strong organizational and task management skills to plan, execute, and manage tasks for multiple programs.  Experience using information management tools, including Microsoft Office, with a strong emphasis on PowerPoint and Excel.
    • Experience working with diverse populations.     • Ability to remain flexible while dealing with the shifting health care and funding environment.
    • Ability to adapt to the changing needs of the organization which may require adjusting schedules to enable attending evening events and offsite meetings.
    • Ability to work in a team environment and demonstrate effective skills in maintaining cooperative and effective working relationships with a broad range of partners. 
    • Ability to communicate clearly and concisely, both orally and in writing, to a broad range of audiences.
    • Overnight travel (mostly within California) is required 2-4 times per year when travel safely opens again.

    EDUCATION AND EXPERIENCE

    • Education: Bachelor's degree, or equivalent combination of education and experience.
    • Experience: Minimum two years working on multi-faceted programs or initiatives in health care or a related field.

    PREFERRED QUALIFICATIONS

    • Experience coordinating large groups of participants or organizations in a program with multiple components including data collection and technical assistance support.  
    • Knowledge or experience with quality improvement, performance improvement, human-centered design, or Lean/Six Sigma knowledge.
    • Lived, relevant work experience, and/or knowledge of addressing the needs of underserved populations.  
    • Experience using Salesforce.

    LOCATION

    The Program Coordinator is expected to work from the CCI office in downtown Oakland in the long-term. However, in the short-term, CCI is allowing remote work from home. Exact expectations for work location (i.e., remote from home and/or at the CCI office) for the Program Coordinator will be determined upon hire.
