    Job Description

    Operations Assistant Administrative Responsibilities: • Handle Advisor and Client Relationship Manager needs proactively • Create and maintain most reports for weekly office meetings • Handle phone calls from clients, vendors, or prospects, and when appropriate; transfer calls to advisor or client relationship manager when required • Daily phone call or email to confirm scheduled meetings • Regularly review news items, technology updates, and e-mail communications, report pertinent information back to Advisor and Client Relationship Manager • Conduct research on products/programs for the firm’s CEO • Monitor client meeting frequency needs through CRM and create meeting folders • Order Illustrations for Annuity, Life, Long Term Care, and Disability, etc. • Maintain CRM and site data for all clients and 401(k) plans Assisting Responsibilities • Assist with new client onboarding – 401(k) and retail • Assist with preparing investment reviews: Administrative and Participant Education • Assist with preparing client meeting reviews (not including financial plan) • Assist with daily transactions including money movement, account maintenance, electronic filing, document uploading, and other projects, as needed Operational Responsibilities • Quarterly updating of all Manual Assets • Keep track of and monitor licensed staff’s continuing education, licenses, and state registrations • Maintain office inventory, place orders when necessary • Maintain office appearance, including setting up the conference room for meetings and cleaning up afterward Planning Responsibilities • Schedule client, prospect, and vendor meetings. Ensure office calendar is continually updated • Plan birthday and holiday gifts for clients, get everybody in office to sign cards, and package/send all gifts via USPS • Maintain company and CEO calendar – schedule/coordinate any appointments as necessary • Ordering and maintaining of marketing materials, prospectus, fact sheet files Are you interested in working in the financial industry? Key responsibilities include: • As the face and voice of the firm, greet clients, vendors, and others in a pleasant and efficient manner both in person and over the phone. • Prepare and process client paperwork accurately and in a timely manner. • Assist with daily transactions including money movement, account maintenance, electronic filing, document uploading, and other projects as needed. • Assist with marketing initiatives including client gifts, birthday cards, mailings, and website updates when necessary.
