    ADMINISTRATIVE ASSISTANT & INTAKE COORDINATOR

     

    We're looking to hire an Administrative Assistant & Intake Coordinator to join our Boston location of our Children's Behavioral Health Initiative [CBHI] Division. The Administrative Assistant & Intake Coordinator will:

    • Conduct Intakes for In-Home Therapy, In-Home Behavioral and Therapeutic Mentoring Services                                                                                                 
    • Take referrals over the phone, fax or e-mail and screen them in or out
    • Complete wait list spreadsheets
    • Check insurance eligibility for clients
    • Call families confirming interest in services
    • Offer outside referrals in case family chooses not to wait
    • Make weekly follow up calls to families on the waiting list
    • Check eligibility of clients and send email with updates to supervisors and Clinical Director
    • Maintain and update list of clients, tracking spreadsheets and caseload trackers
    • Inform staff on a weekly basis when re-authorizations are due and when and how many units should be requested
    • Update Managed Care Entities (MCEs) weekly online report and complete monthly report
    • Keep vacation requests record, training requests and requests for payment
    • Make copies of training material
    • Order office supplies
    • Manage petty cash
    • Open new cases in the Electronic Health Record/Billing system, enter authorizations and re-authorizations and modify clients information as needed.
    • Complete other tasks requested by the Program Director

    Required Skills

    • Minimum High School Diploma with business related course or equivalency.
    • Basic knowledge of scheduling and scheduling systems and procedures.
    • Thorough knowledge of billing practices and managed care requirements, as they relate to job functions.
    • Must understand the population and information sensitivity (i.e. HIPPA and privacy laws and regulation) protocols required in mental health.
    • Required fluency in English and Spanish.
    • Salary is $16/hour.
