QUALIFICATIONS & EXPERIENCE
High school graduate or equivalent with two years clerical/reception experience in business, healthcare, or non-profit agency. Raisers Edge experience preferred.
Typing speed of 60 – 70 words per minute with high degree of accuracy.
Experience with internet searches and use of search engines.
Microsoft Office and general office equipment experience.
Maintains a valid Michigan driver’s license and has the availability of a reliable, licensed, and insured vehicle for use on the job, vehicle must be insured in accordance with the State of Michigan.
Remains up to date on all routine immunizations required by LARA and agency policy.
SUMMARY OF JOB RESPONSIBILITIES
The Development Assistant accurately enters and maintains data in the Raiser’s Edge donor software, as well as providing support to our donors. Duties will also include generating and sending donor acknowledgement and thank you letters, recording online donations, and processing incoming checks and documentation for deposits. Produces month-end reports and provides any customized reports as needed to support the accounting department for specialized projects such as fundraising activity planning and analysis or donor research. Provides reception coverage as needed. Orders and maintains the inventory of marketing materials for internal distribution. Provides general administrative support for the department, ensuring smooth operations and efficient workflow.
RESPONSIBILITIES AND DUTIES
Primary Duties
Enters and maintains data in Raiser’s Edge from memorials, contributions, and fundraising campaigns. Ensures accuracy and consistency of data by ongoing systematic crosschecking and clean-up of database.
Enters accurate hospice patient and primary caregiver information in Raisers Edge, including hospice program, date of death, caregiver relationship, and period of bereavement.
Receipts and acknowledges all donations and pledges and responds to donor questions and concerns in a timely, efficient, and professional manner.
Maintains and produces both standard and specialized reports, including monthly and year-end financial reports for the finance department and statistical reports to assist with the planning and analysis of fundraising activities and donor research.
Researches and resolves discrepancies between Raiser’s Edge and financial reports.
Runs queries for research, problem-solving and reports.
Orders, maintains, and distributes office supplies.
Prepares materials for special departmental mailings for donors or fundraising communication, etc.
Assists Chief Marketing and Development Officer with planning and implementation of annual Friends Campaign, follow up and consistent donor development.
Trains and reviews work of data entry assistant.
Responsible for all aspects of donor giving and census using Electronic Medical Records and Raiser’s Edge.
Responsible for reporting donor gifts, generating thank you notes, designating and acknowledgment letters, compiling month-end and year-end reports and keeping totals balanced with accounting.
Customer contact and support for all donor problems and questions, including assisting donors with online giving.
Responsible for the administration of Riser’s Edge software. Including adding and deleting users, troubleshooting, and communication with Raiser’s Edge support staff.
Compiling and printing patient information and reports in HCHB.
