    Position Overview: The role of the Production Scheduler is to support the Office Manager, the Production Manager and the Sales Team with a range of planning, scheduling and communication activities. These activities directly contribute toward the company meeting or exceeding expectations in terms of Leads Generated, Sales Dollars Completed, Gross Profit Margin, and Net Promoter Score Rating. While working toward these goals, the CMA must represent the CertaPro brand in a manner that distinguishes us from our local competition as CertaPro “Delivers Extraordinary Experiences” and ensures that our customer’s needs and expectations are met or exceeded.Please be aware that this position is NOT available as a remote position.

    Key Accountabilities:

    Customer Communication – 40%

    Schedule sales appointments requested via Phone or Email.

    Return calls or emails within 1- hour, even if only to identify a time when you will provide an update or more detailed response.

    Contact customers within 24-hours of contract receipt to acknowledge receipt and confirm approximate start range.

    Email customer with 3-5 days of contract receipt to confirm start range, provide additional welcome information, next steps and solicit color confirmation.

    Contact each customer every 2- weeks to confirm approximate start range or notify of any schedule changes.

    Update customers weekly via email if production schedule has shifted more than 1-week beyond original date range provided.

    Production Scheduling and Management- 40%

    Create, manage and update the Production Schedule for all jobs and painter teams.

    Colors confirmed and updated before job is started.

    Collection of deposit upon scheduling start date.

    CRM job status updates

    Customer Experience/Quality Assurance – 10%

    Call each customer within 48-hours of the job starting to ensure expectations are met.

    Weekly communication to painting staff on “successes” and “opportunities” to improve.

    Call each customer within 48-hours of job completion to confirm all expectations are met and determine if any touch-ups or other call backs are needed.

    Painter Recruiting, Retention and Morale -10%

    Coordinate quarterly production meetings

    Update new Painters into CRM

    Coordinate painter communication tools (WhatsApp)

    Weekly communication to painters on CSS, processes, and procedures

    Weekly Communication to painters on NPS Successes

    Monthly safety topic communication.

    Qualifications/Certifications:

    High school diploma or GED

    College degree a plus but not required

    Organized and detailed oriented

    Knowledge of Microsoft office packages

    Excellent verbal and written communication skills

    Excellent organizational and time management skills

    Previous experience requested.
