We are looking for an energetic, quick learner who is fast on their feet to join our intense, out-of-the-box executive as his Chief of Staff. The mission of this role is to stay five steps ahead of their leader, tracking all of the administrative details, and clearing the path for him to make his greatest contribution to our business. They will be a key asset to the Founder and CEO by anticipating needs at an exceptionally high level, allowing him to develop vision, strategy, and to sell homes at a high level, so that we can reach our mission, revenue, and profitability goals. Currently, the CEO leads the sales team and is also in sales himself at a very high level. This role will support all of those functions, support his client's needs, and help manage his personal life when needed. While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the CEO’s needs and the needs of the business. The most important responsibility of the Chief of Staff is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CEO. The Details • This is a 50-60 hr+/week role with the majority of that being during business hours, M-F 8:30 am-5:00 pm • $65,000 - $75,000 salary (based on experience) • Generous Bonus Opportunities Responsibilities: • Communicating on the CEO's behalf both internally and externally • Email management on behalf of the CEO • Running errands and attending in-person meetings multiple times per week • Checking mail and processing for various departments • Complex calendar management and scheduling (both personally and professionally) on behalf of the CEO and the Executive Team • Varying personal and professional administrative tasks, including, but not limited to, booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc, for the CEO and the Executive Team • Project management and light bookkeeping duties • Weekly expense report on behalf of the CEO and the executive team • Maintain inventory and office supplies • Anticipate office needs; evaluate new office products; place and often expedite orders when necessary • Supports the lead agent in any and all tasks that need to be handled. This could include picking up laundry, calling to schedule Dr appointments and more. If this feels beneath you please do not apply. • Provides fiduciary service to all sellers from the time their home goes on the market up until it goes to the closing table • Provides fiduciary services to all buyers from the moment they sign to look at homes until they go to the closing table • Communicates regularly with buyers and sellers to include progress reports and feedback from showings • Keeps the agent updated on the progress of all buyer/seller contracts and advises when they need to become involved in negotiations or problem resolution • Support the agent by preparing CMAs and Seller Net Sheets, Buyer Net Sheets, updating the contact database as needed, updating and maintaining listing materials/buyer materials, and preparing pre-listing packages/buyer consultations • Assists the agent in coordinating the staging, repairs, and home improvements required for showing the property • Maintains and delivers signage, marketing materials, and lockboxes for each listing • Helps with the marketing of the listings. • Schedules all showings and handles all things buyer-related, including attending inspections, walkthroughs, and closings as needed • Develops and implements systems for contact database management and back office support. Ensures that all systems and processes run efficiently, making revisions as needed • Creates and maintains all team filing systems (listings, contracts, legal, correspondences, etc.) and computer databases. This includes making sure that all reference material and forms are available and current • Informs the agent of any problems or issues that need to be handled and maintains clear communication regarding the clients • The bottom line: you’re responsible for everything and everything that this Agent could need to do and helping them get it done! • Coordinate the finances of several business entities, assist with budget preparation for all of the CEO's business interests • Reading books/periodicals related to business and the real estate industry • Assisting with long-term strategic planning in regard to businesses, relationships, and other opportunities as they arise Qualifications: • Financial Knowledge: The Founder and CEO’s Chief of Staff will have a high attention to detail and accuracy, using their existing experience dealing with financial information, their experience supporting Executives, and their ground-level understanding of accounting terminology to provide informed administrative support • Quality Communication: The EA must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details • High Level of Discretion: Since our Chief of Staff will regularly work with confidential information, discretion and sensitivity regarding personal, financial, and other information are a must • Team Player: In addition to working directly with the Founder and CEO, the Chief of Staff will also work with members of the Executive Team and Sales Team. They’ll need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping • Anticipating Needs: As a part of our commitment to enabling our Founder and CEO to serve our company and clients at the top of his game, our Chief of Staff will strive to anticipate needs and eliminate friction at work and at home whenever possible. This person will do anything and everything they need to in order to free their CEO up to sell Requirements • Bachelor’s Degree preferred • 7 years+ experience of supporting an executive at a high level • Travel: Infrequent travel (1 - 2 times per year) may be required • Love a fast-paced work environment • Not afraid to learn new things • Excited to join our family Compensation: $65,000 - $75,000 salary
