  • Responsibilities

    We’re looking for a hands-on, data-driven Chief Operating Officer to run the day-to-day operations of the firm. You’ll work directly alongside firm leadership to integrate departments, build scalable systems, and make sure every part of the business is performing at its best. This is the role that lets our attorneys focus on the law while you run the business. The right person for this role is someone who lives and breathes operational efficiency — someone who sees data not as a reporting task, but as the lens through which every decision gets made. Responsibilities: Operations & Process Management Oversee day-to-day operations across all departments — intake, pre-litigation, litigation, and marketing Design, implement, and continuously improve firm-wide workflows, SOPs, and quality control processes Conduct regular audits of all workflows and SOPs; identify gaps and lead training to close them Identify bottlenecks and inefficiencies and drive initiatives to resolve them Ensure accurate and up-to-date case management across all tracking systems Data & Performance Management Champion a data-first culture — collect, track, and apply performance data to daily operational decisions Build and maintain dashboards that give leadership real-time visibility into firm performance Define and monitor KPIs across every department; hold teams accountable to results Use data to identify trends, forecast challenges, and surface opportunities before they become problems Prepare and present weekly and monthly performance reports to firm principals People & Culture Lead training and performance management for non-attorney staff Build a culture of accountability, hospitality, and client dedication consistent with firm core values Develop career pathways and professional development programs for all support staff Financial Oversight Collaborate with firm ownership on budgeting, forecasting, and expense management Monitor key financial metrics including cost per case, revenue per attorney, and operational overhead Identify opportunities to improve profitability without compromising client outcomes Client Experience Champion a client-first culture across all touchpoints, from first contact through case resolution Implement systems to ensure consistent client communication, timely follow-up, and proactive expectation-setting Monitor and respond to client feedback and satisfaction metrics Technology & Systems Oversee the firm’s case management software, reporting tools, and internal technology stack Evaluate and implement new tools that improve productivity, communication, and case tracking Ensure data integrity across all platforms and trackers Leadership & Strategy Serve as a key strategic partner to firm principals, translating goals into actionable operational plans Integrate departments to eliminate silos and improve collaboration, client service, and case outcomes Lead the firm’s growth initiatives — building the infrastructure to scale headcount, caseload, and revenue without sacrificing quality Drive business development in coordination with firm leadership, including referral relationships and community presence Lead weekly and monthly operational meetings with department managers Continuously assess organizational structure and recommend changes as the firm scales Qualifications: 5+ years of operations leadership experience, preferably in a law firm, healthcare, or high-volume professional services environment Genuinely data-driven — you don’t just report numbers; you apply them to make better decisions every day Proven track record of building, integrating, and scaling teams and processes Strong understanding of personal injury or legal industry workflows is a significant plus Exceptional communication, leadership, and organizational skills Proficiency with legal case management software and Microsoft Office/365 Bachelor’s degree required; MBA or JD a plus but not required Compensation: $150,000 annual + Performance-based bonus structure
