    Agency is seeking a Childcare Administrator / General Assistant.

    The position involves assisting with various aspects of the business, but the primary focus will be on recruiting, proofreading, data entry, and updating caregivers’ files via phone calls and emails. Within our small company, the position has the potential to grow. Some training will be provided but applicant MUST have high proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new database/CRM/ATS software quickly.

     

    Schedule and location:

    • Typically, Monday to Friday between 8:30 am to 5/6 pm
    • Schedule will vary based on need (but must be willing to work outside of business hours).
    • Position is a long-term hybrid of in-office and remote work depending on season and need, but is mostly remote. Candidate must be willing to travel to our Bedminster and Short Hills (NJ) offices, based on the owner’s discretion (a third location maybe occasionally need).

     

    Ideal Candidate:

    This dynamic position is the first point of contact for our clients and nannies, requiring superior organizational skills and a customer service mindset. Plus the following:

    • Must be great problem solver and solution oriented
    • Able to handle fast pace environment/situations
    • Has a college degree
    • Must be a fast typist with an eye for detail (fast but efficient)
    • Must be creative and energetic
    • Must be able to work both independently and as a team
    • Must have excellent customer service skills
    • Proficient in proofreading/grammar skills as well as verbal and written communication skills
    • Background in childcare/education preferred
    • Must be comfortable and confident using computers, particularly Microsoft Office, Word, Excel, Email and willing to learn more
    • Someone who remains composed easily and is capable of managing a high volume of emails and phone calls effectively.
    • Marketing / sales background is a huge plus! (not required)

     

    Duties may include, but are not be limited to:

    • General office/administrative work
    • Proofreading /editing
    • Call out reach in addition to answer and direct all incoming phone calls and manage the general agency email inbox, ensuring prompt and professional responses to inquiries.
    • Providing wonderful customer service
    • Scheduling and organizing people needs/skill
    • Maintain organized client and nanny files (digital and physical), manage inventory of office supplies, and handle incoming/outgoing mail.
    • Input and update candidate and client information accurately in our Systems (ATS and CRM ect).
    • Developing professional profiles/ resumes, and conducting some investigative work
    • Assisting with reference verification processes
    • Basic Sales
