    Children’s Behavioral Health is seeking an innovative and purpose driven individual to join our team as an Office Manager. Full Time starting at $9.38 hr

    SUMMARY:

    A person in this position is responsible for performing job tasks designed to maintain the overall effective functioning of the daily business operations at the office location. Assignments are varied in nature. Supervision is provided by the Regional Director.

    RESPONSIBILITIES:

    Receives incoming phone calls and directs them to the appropriate personnel; takes messages for administrative/operational staff and delivers in a timely manner; may make follow up phone calls.

    Listens to voicemails and directs messages to appropriate personnel, faxes copies, and receives incoming faxes and distributes to the appropriate staff in a timely manner.

    Maintains office equipment such as copier, fax, and postage machine; arranges for service maintenance on equipment..

    Prepares outgoing mail to meet mail delivery; sorts and distributes incoming mail in a timely manner.

    Greets, assists, and directs visitors, staff, and/or clients to the appropriate personnel.

    Prepares incoming and outgoing correspondence such as faxes, letters, memos; also prepares spreadsheets, charts, and other documents as required by management.

    Maintains an inventory of office supplies and replenishes inventory to ensure that all supplies are fully stocked.

    Files a wide variety of documents used in day to day operations. May be responsible for updating information in charts and appointment and scheduling books, may also prepare data to open new client charts and closes charts upon discharge.

    Reviews paperwork submitted by TSS AND BSC/MT workers on a weekly basis and ensures accuracy for payroll submittal and billing purposes.

    Files various documents related to employee and client records and ensures that files are maintained in good order and are secured.

    Schedules new clients and re-evaluations on a monthly basis.

    Maintains and updates schedules for administrative and operations staff and distributes information as required to support the efficient operation of the business activities.

    Tracks information and maintains accuracy of any requested information needed for the Human Resource Department, Managers, and Directors.

    Performs related work as required.

    Required Knowledge, Skills, and Abilities:

    Considerable knowledge of standard office practices and procedures.

    Considerable knowledge of business English, punctuation, and spelling.

    Ability to understand the operation of various types of office equipment, including computers, copiers, and fax machines.

    Ability to exercise independent judgment in establishing priorities for a clerical workload.

    Ability to communicate effectively in both an oral and written fashion.

    Ability to respond professionally and courteously to all individuals encountered in the work setting.

    QUALIFICATIONS:

    At a minimum, the person must possess a high school diploma or equivalent.

    Experience in the administrative or clerical field is preferred.
