ABOUT YOUR ROLE: This position is responsible for performing job tasks designed to maintain the overall effective functioning of the daily business operations at the office location. Assignments are varied in nature. Supervision is provided by the Regional Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receives and documents incoming phone calls; directs phone calls to appropriate staff; takes messages for staff and delivers in timely manners; listens to voicemails and directs to appropriate staff; makes follow up calls and reminders calls for clients’ meetings/doctor appointments
Maintains phone logs: clients’ emergency contacts and transportation company information
Prepares incoming and outgoing correspondence such as faxes, letters, and memos; prepares spreadsheets, and charts and other documents required
Maintains office equipment; arranges for service maintenance on equipment
Prepares outgoing mail to meet delivery; sorts and distributes incoming mail in a timely manner.
Maintains and checks medical assistance eligibility
Maintains monthly lunch memos, distributes to clients; orders and documents daily lunch counts.
Maintains an inventory of office supplies and replenishes inventory to ensure all supplies are fully stocked
Files and maintains charts weekly: updating information in charts, opens and closes new/discharged charts
Schedules new clients and maintains doctor’s schedule. May type psychiatric notes/evaluations as needed
Maintains clients encounter forms daily; reviews progress notes ensuring accuracy for billing purposes
Tracks client attendance; prepares monthly reports for school districts and billing department; sends billing new client information
DO YOU HAVE THE FOLLOWING REQUIREMENT?
Must possess a high school diploma OR equivalent
Must have PA Criminal, PA Child Abuse and FBI Clearances
At least one (1) year experience in a medical or social service agency
ADDITIONAL REQUIREMENTS:
Must have PA Criminal, PA Child Abuse, and FBI Clearances
Experience in the administrative or clerical field is preferred
Considerable knowledge of standard office practices and procedures
Considerable knowledge of business English, punctuation, and spelling
Ability to understand the operation of various types of office equipment, including computers, copiers, and fax machines
Ability to exercise independent judgment in establishing priorities for a clerical workload
Ability to communicate effectively in both an oral and written fashion
Ability to respond professionally and courteously to all individuals encountered in the work setting
Language, mathematical, and reasoning ability skills
