    Job Description

    Primary Responsibilities

    • Manage schedules effectively to support our program and our community's requests for services.
    • Provide exceptional administrative support to our team
    • Maintain clear and consistent communication with stakeholders
    • Handle incoming phone calls promptly and professionally.
    • Address inquiries from parents and external partners, providing accurate information.
    • Guide families through the intake process by asking relevant questions.
    • Ensure detailed documentation and accuracy in gathering information.
    • Maintain up-to-date records, documenting all communication.
    • Ensure compliance with intake timelines, policies, procedures, and funder requirements.
    • Manage waitlists for our Kent and Burien Centers, coordinating evaluations and therapy appointments.
    • Schedule appointments efficiently to optimize provider-schedules and availability
    • Assist in requesting and sending medical records and reports as needed.
    • Collaborate closely with all co-workers to deliver exceptional, family-focused customer service.
    • Provide backup support for incoming calls and basic office coordination
    • Perform other related duties as assigned
  • Qualifications

    Qualifications

    Demonstrable experience and other Qualifications:

    • High school diploma or equivalent.
    • Prior experience in patient scheduling, particularly within a medical setting, is preferred.
    • Enthusiastic about contributing to a team dedicated to serving the needs of children and families in our communities.
    • Strong communication skills, including the ability to convey thoughts and express ideas effectively using various oral, written, visual, and/or non-verbal skills.
    • Effective listening skills, including the ability to recognize, comprehend and appreciate various perspectives and diverse points of view.
    • Organized and detail oriented, with the ability to organize work to meet various commitments and responsibilities.
    • Ability to anticipate potential challenges, and adjust to changes as needed.
    • Collaborative and participatory; ability to work as an active member of the team, inviting diverse perspectives to support organizational priorities and common goals.
    • Demonstrated the ability to include, value, respect, and engage perspectives that cross cultural backgrounds, lived experiences, and diverse points of view.
    • Consciously and intentionally operates with self-awareness; consistently seeking opportunties to learning and grow in proactive and respectful ways.
    • Strong decision-making skills, including the ability to complete duties factoring appropriate or relevant details, considerations, and input from all individuals impacted.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with electronic medical records (EMR) systems is advantageous.

    • Fluency in Spanish, Vietnamese, Arabic, or another language is a plus.

    Additional Information

    **Schedule & Setting: **

    This position works a hybrid schedule full time, 40 hour per week. The position requires a minimum of 2 days in office; i.e. Monday and Wednesday in-office at Children’s Therapy Center’s Kent location (10811 SE Kent Kangley Road, Kent, WA), Tuesday, Thursday, Friday may be spent working remotely.

    Compensation & Benefits:

    Children’s Therapy Center offers equitable and competitive pay commensurate with job-related experience and education. The pay rate range for this position is $19.08-29.04 per hour dependent on related experience and education.

Eligible employees can enroll in our retirement plan with their first paycheck and will be eligible for company contributions after their first year of employment.
