    Salary: $65,000 - $75,000/year DOE

    Our client, a prominent organization in the refining industry, is seeking a proficient Document Control Specialist to join their team. This role is pivotal in maintaining an efficient document control system, ensuring compliance with industry standards, and facilitating smooth refinery and terminal operations.

    Purpose and Role:

    The Document Control Specialist will oversee the document control function, managing both electronic and hard copy documentation. This position involves collaborating with various refinery disciplines to implement improvements, streamline processes, and enhance operational efficiency.

    Key Responsibilities:

    • Develop and maintain the company's document retention program.
    • Manage document numbering, lifecycle, and control program, including drawings.
    • Log and file various documents such as ISO drawings, tracking lists, and P&IDs.
    • Maintain accuracy and completeness of company procedures, reports, and controlled documents.
    • Collect and file required technical documents.
    • Generate and distribute reports as needed.
    • Assist in cataloging and maintaining compliance records.
    • Document meeting minutes and distribute them to the team.
    • Research industry standards and specifications for projects.
    • Create and standardize document templates using Excel, Word, and PowerPoint.
    • Handle sensitive and confidential information appropriately.
    • Archive inactive records in accordance with industry and corporate standards.
    • Coordinate documentation requests for regulatory audits.
    • Maintain hard copies of manuals and drawings in the document room.

    Requirements:

    • 5-8 years of relevant work experience.
    • High school diploma or GED; Associate degree preferred.
    • Knowledge of industry standards and/or regulations such as OSHA, PSM, DOT/PHMSA, and API preferred.
    • Proficiency in Excel, Word, and PowerPoint.
    • Highly organized, detail-oriented, and self-motivated.
    • Ability to work with minimal supervision.
    • Excellent communication skills.
    • Legally authorized to work in the US.
    • Valid state-issued driver’s license.

    Physical Demands:

    • Regularly required to walk, sit, talk, hear, and look at multiple computer screens for extended periods.
    • Occasionally required to stand, use hands, and reach with hands and arms.
