    East Austin nonprofit Chula League’s 18th Annual Cherrywood Art Fair, to be held on December 7 & 8 2019, is looking for an experienced Silent Auction Manager. We need an outstanding, hardworking, and extremely organized self-starter to coordinate all aspects of the 2-day Silent Auction held at the Fair.

    The candidate must be highly organized and detail-oriented, as they will be responsible for the success of the Silent Auction fundraiser from solicitation/procurement to design and set up, to on-site management during event, to winning bidder pickup, payment and load out. Candidate MUST have large-scale event experience.

    Responsibilities include:

    Oversee solicitation of 40–50 business auction items prior to Fair

    Participate in Salesforce database training, add new auction donor leads and ensure opportunity stages are kept current and ongoing contact activity, procured auction items, source, and disposition amounts are logged in database

    Provide donation receipts to auction donors when requested

    Provide donor business name and URL to webmaster through Salesforce report

    Receive and store all business auction items (mostly gift cards) prior to Fair

    Plan auction display

    Receive auction contributions from Fair participants (125+ items) during Friday Fair setup with CAF artist check-in and volunteer runner support

    Prepare auction bid sheets

    Arrange auction display

    Oversee auction bidding process

    Oversee auction close, notification of winning bids, collection of auction proceeds with volunteer cashier and callers support

    Close out any unclaimed items after the Fair

    Remit proceeds and submit final auction spreadsheet sales report to Administrator

    Participate in post-event team survey and team debrief meeting

    Position Requirements:

    At least 1 year of experience in fundraising, nonprofit activities, or related fields

    Excellent writing and verbal skills

    Microsoft Excel and Google Drive skills

    Familiarity with Salesforce

    Excellent organizational skills

    Ability to multi-task with excellent time-management skills

    Team-player with a good sense of humor and positive attitude are major assets
