Development Administrative Assistant

The Position:
The Development Administrative Assistant will manage opening schedule information, support project tracking software, and administrative closeout of all construction projects while building communication, accountability, and infrastructure to support all construction initiatives.
Core Duties/Responsibilities (includes but not limited to):
Receives, sorts, files, correspondence, and documents related to new construction and remodels
Follow up with responsible parties to obtain/coordinate project information
Coordinate calendars, schedules, meetings, training, and travel arrangements
Ability to obtain quotes from vendors and some material ordering
Assist and/or facilitate license and permit renewals
Properly code monthly expense reports
Assist with receiving, tracking, and tagging project materials
Composes, formats, and organizes detailed meeting minutes
May assist other departments and clients with processing of forms
Expected to maintain a productive and safe working environment in accordance with established operating procedures and practices

Required Skills/Knowledge/Experience:
High school diploma or GED
Bachelor's degree or current continued education (preferred)
Prior customer service experience
Record of success in previous jobs
1-2 years of administrative assistance experience
Proficient computer skills in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint)
Knowledge of software such as ProCore, Smartsheet, Box, Bluebeam knowledge (preferred)
Demonstrates excellent verbal and written communication skills
Meets deadlines in a high-pressure environment
Must have the ability to multitask and prioritize workload
Capacity to handle interruptions regularly
Ability to take initiative, follow through, and utilize a keen attention to detail
Strong organizational, record keeping, and follow-up skills
Good judgement, logic, and ability to learn things quickly
Build and maintain solid work relationships
Ability to be accountable to multiple people
Demonstrates willingness to accept new challenges
Exhibits a positive attitude
