Circlepoint is headquartered in Oakland with offices in San Jose, and Orange.

    WHAT WE ARE LOOKING FOR?  We are looking for a full-time Marketing/Administrative Assistant to join us in our Orange office.     WHAT YOU WILL DO IN THIS POSITION?  The Marketing/Administrative Assistant will work closely with the Marketing Manager to support the company's marketing and business development efforts through completion of administrative and logistical needs. In addition, the Marketing/Administrative Assistant will work with the Oakland and San Jose Office Managers to ensure a high-quality office environment and oversee daily administrative tasks for the Orange office.

    The Marketing/Administrative Assistant responsibilities include:

    • Help maintaining our CRM database
    • Respond to general questions and requests for information (RFIs) including subconsultant RFIs from prime teaming partners
    • Coordinate with teaming partners to provide/acquire necessary materials
    • Complete proposal forms, award application, and certification/recertification materials
    • Scheduling and setting up for meetings, assisting with general office maintenance and repairs, and reordering supplies
    • Making travel arrangements, such as booking flights, cars, and making hotel reservations
    • Generate reports, memos, and emails, as well as conduct general research when appropriate
    • Manage production and shipping of proposals and marketing materials
    • Update company social media content and website information
    • Anticipate the needs of the Orange Office staff in order to ensure their seamless and positive experience
    • Maintain polite and professional communication via phone, e-mail, and mail

    REQUIREMENTS:

    • Associate Degree in related field or High School Diploma
    • Prior administrative experience
    • Fluency in Windows and/or MAC OS
    • Proficiency with MS Office Suite
    • Some experience with Adobe InDesign
    • Desire to be proactive and create a positive experience for others
    • Excellent written, verbal, and visual communication skills
    • Exceptional organizational skills and attention to detail
    • Must be legally eligible to work in the U.S.

    NOT REQUIRED, BUT A PLUS IF YOU HAVE:

    • A/E/C industry experience
    • Experience with Deltek Vision and/or Asana
