    Founded in 1982 as the world’s first food rescue organization, City Harvest is dedicated to helping to feed the nearly 1.2 million New Yorkers who are struggling to put meals on their tables. We will rescue 153 million pounds of food this year and deliver it, free of charge, to hundreds of food pantries, soup kitchens, and other community partners across the five boroughs.     CITY HARVEST WILL BE MOVING ALL OPERATIONS TO SUNSET PARK, BROOKLYN BEGINNING WITH OUR WAREHOUSE AND DISTRIBUTION IN FALL 2021 AND OUR PROGRAMMATIC AND OTHER OPERATIONS IN THE WINTER OF 2021. __  

    OVERVIEW:  The Benefits and Wellness Manager will provide support to employees and foster employees understanding of our benefits, leaves and wellness programs. This role will continuously identify enhancements to our benefit programs and maintains the accuracy and integrity of the Benefit Administration system.  They will be responsible for ensuring the accurate enrollment and administration in the group benefit plans, process employee changes to benefit enrollment and help facilitate new hire onboarding as well as open enrollment activities. Additionally, the role verifies monthly new hire enrollments, helps conduct new hire benefits orientation and act as backup for new hire onboarding.   The role will also help verify vendor invoicing, reconcile benefit invoices, and field employee questions. The role will help to deliver outstanding employee support through administering benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, and 403(b) plans.

     

    PRIMARY RESPONSIBILITIES:

    Benefit onboarding and upkeep process:

    • Develop or update benefit material and on-site or virtual education meetings to hold during new hire and open enrollment periods, 
    • Facilitate and track the onboarding of all new hires ensuring all enrollment questions are answered or escalated in a timely manner
    • Resolve moderately complex benefit issues related to employee, management and 403(b) inquiries, as needed
    • Monitor the 403(b) portal to ensure employee email addresses are accurate, and all communication is responded to and tasks escalated to Director, HR
    • Create urgency with employees and providers via email, text and phone, to encourage timely and accurate document submission by establishing target dates and monitoring document submission progress in order to deliver comprehensive documentation facility for an on-time assignment start date
    • Complete Qualified Medical Support Orders as they arise
    • Establish and maintain benefit calendar in partnership with Director, HR
    • Partner with Director, HR to handle Medicaid Part B/year end process notifications

    Auditing and Compliance:

    • Assist with the monthly completion of the benefit invoice reconciliation process, including identifying and resolving discrepancies
    • Run point on the annual 403 (b) audit in partnership with the Controller and Director, HR 
    • Audit union dues reports received from Local 804 and partner with Payroll and Accounts
    • Payable to the vendor is paid accurately
    • Reconcile the Local 804 Dues report and ensure their records are updated based on monthly audit
    • Participate in other annual compliance and audit activities, as needed

    Reporting and Analytics:

    • Own the creation and running of monthly reporting
    • Provide monthly data analytics on KPIs established by HR leadership (TTF, Turnover, etc)
    • Run benefit reports via PlanSource, as requested by the Finance Department

    Employee Engagement:

    • Project Manager for the Wellness Workgroup
    • Coordinate wellness events, such as stressbusters, flu shots, health fair and other wellness challenges
    • Coordinate 1 on 1 sessions with subsets of the employee population to bolster experience and engagement during open enrollment

     SECONDARY RESPONSIBILITIES

    • Collaborate with the HR Team to identify system improvements, and implement solutions as necessary
    • Adhere and contribute to HR standard operating procedures, following established company, local, state and federal guidelines to ensure compliance
    • Other duties as assigned

    POSITION SCOPE:  My duties are varied and diversified in support of an assigned function following varied procedures and determining appropriate action within standard protocols.

    DECISION MAKING/PROBLEM SOLVING:  Identify and analyze problems or discrepancies affecting own work or work products.  Verify and analyze facts, then implement solutions based on knowledge of procedures and logic.

    FISCAL RESPONSIBILITY:  Responsible for making sure City Harvest resources are used effectively and that assigned expenses and revenues reflect budget goals.

    RELATIONSHIPS: 

    INTERNAL CONTACTS:   Regular contact with managers and staff in other departments to develop and deliver programs and services.

    _EXTERNAL CONTACTS:  _I have regular interactions with assigned business contacts to obtain information necessary to complete work or provide services.

    COMMUNICATIONS:  Communicate specialized information about programs, operations or services to assigned stakeholders.  Research and compile information from various sources.

    SUPERVISION EXERCISED:  Do not supervise or provide guidance to others.

     

    POSITION REQUIREMENTS:

    EDUCATION: Master Degree preferred; Bachelor’s Degree required 

    EXPERIENCE: 3 - 4 years experience in Benefit Administration preferred; at least 1 year data reporting, and/or administrative support a plus

    RELATED SKILLS OR KNOWLEDGE:  Must have strong written and verbal communication skills. Must be detail-oriented with strong organizational and project management skills. Ability to interact with staff at all levels is required.   Must be able to work as a team player and prioritize work functions.  Ability to handle both sensitive and confidential information is essential. Must be proficient in MS Office Suite.

    PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

    • Regularly required to speak clearly and hear the spoken word well.
    • Regularly required to physically operate routine equipment (computers, calculators, etc.).
    • Regularly required to utilize near vision ability to read data and documents, including spreadsheets and reports, in printed form and on computer screens.
