  • Responsibilities

    As an Executive Assistant, you will support LJC’s executive leaders, while also contributing to the operational needs of the office, as well as collaborate with colleagues in Clayco’s Administrative Team to help our entire enterprise thrive.

    Role Responsibilities:

    • Provides clerical and administrative support to LJC Culver City, CA Managing Directors, and office leadership team when required
    • Coordinates executive communications and calendar, including phone/email correspondence and project team/client interface
    • Schedules executive meetings, appointments and travel itineraries
    • Prepares internal and external documents for colleagues, clients and community partners; helps organize presentations for internal meetings
    • Ensures meeting room set-up, refreshments, wrap-up are provided (breakfast/lunch meetings, all-staff meetings, happy hours, etc.)
    • Partners with technical leaders to schedule and track lunch-and-learn sessions
    • Prepares for new-hire arrival (desk set-up, supplies, name tags, headshot scheduling)
    • Coordinates new-hire orientation and onboarding materials with Clayco Recruiting
    • Coordinates new-hire BIM training sessions with Virtual Design and Construction (VDC)
    • Helps maintain master list of Overland office employees for Clayco, CRG, LJC, et al
    • Inventories and stocks supplies, including Marketing and Safety Team stores, kitchens
    • Orders and delivers prints and drawings.
    • Drives, as needed, to make emergency office errands
    • Develops and sustains a level of professionalism with clients and colleagues
    • Practices LJC’s core values of integrity, humility and fearlessness

    Qualifications:

    Administrative Assistants at LJC possess:

    •  A bachelor's degree required
    •  5-7 years of administrative experience (required) and 2-3 years supporting senior executives (preferred), ideally in architecture, construction and engineering fields
    • Must be organized and detail-oriented with a knack for problem-solving
    • Superior verbal and written communication skills
    • Proficient in all Microsoft Office programs
    •  Strong work ethic and outgoing personality with an interest in relationship building
    • Facility with managing multiple tasks and Operations team members independently
    • Ability to promote teamwork and cooperation through effective interpersonal skills
    • High levels of integrity, initiative, confidentiality and diplomacy
