This position is responsible for invoice delivery reconciliation, timeliness, and accuracy using various reports, that include but are not limited to: customer invoices, credit memo, retail service system, portal uploads, weekly aging, and delivery exception reports.

Billing Analyst must be familiar with essential functions and responsibilities in order to support reviewing, batching, and delivering invoices to the customer in a timely manner following contract requirements. That includes deliveries via email, mail, and portal submissions

PRIMARY RESPONSIBILITIES:

• Follow all invoice delivery requirements as stipulated on customers’ contracts
• Actively review in retail service system:
  • Spot check for EPA, transportation fees, and minimum weight charges
  • Verify that final paperwork is uploaded to retail service system
  • Approve and batch invoices
  • Reject inaccurate invoices and communicate to key players for resolution
  • Deliver invoices following customer requirements
  • Maintain accurate daily submission reports.
• Portal submission:
  • Submit invoices to portals following customer requirements
  • Maintain accurate daily portal submission reports
  • Portal troubleshooting
  • PO# requests if applicable.
• Retrieve invoices, final paperwork, and batch information along with other documents if needed.
• Maintaining accurate invoice delivery records
• Perform monthly delivery reconciliations (Customer Invoices Produced vs. Batch Summaries)
• Review customer invoices produced, credit memo, retail service system, aging, and other reports to identify:
  • Invoices with retail service system bridging issues (Customer Invoices Produced vs. Retail Service System)
  • Portal upload verification (Invoices Created vs. Invoices Uploaded)
  • Review delivery exceptions report and investigate ‘At Risk’ invoices
  • Check for credited invoices on aging report (Aging vs. Credit Memo Report)
  • Provide support to cash applications and collections with delivery details and invoice lists

Qualifications

REQUIRED:

• High School Diploma or GED.
• 3+ years of experience in billing and invoice management activities.

PREFERRED:

• Bachelor’s degree (in Accounting, Business Administration or Finance)
• Working knowledge of Finance Function
• Proficiency in MS Excel. Also possess working knowledge of Microsoft Office software (Word, PowerPoint, SharePoint, Teams and Outlook)
• Ability to maintain a high level of accuracy in details
• Highly developed verbal and written communication skills
• Team player with the ability to work independently
• Capable of prioritizing multiple deadlines and tasks.
