POSITION SUMMARY: The Executive Assistant works directly alongside the Managing Director to help maximize productivity. They maintain excellent communication between their direct supervisor and other departments. The Executive Assistant provides quality administrative and clerical assistance to management.

RESPONSIBILITIES AND DUTIES:

• Organize daily calendars.
• Creating reports and preparing financial documents.
• Answering phones and taking messages.
• Coordinating between departments and operating units in resolving day-to-day operational problems.
• Assist in preparation for meetings.
• Scheduling and coordinating meetings, events, and other similar activities.
• Preparing business correspondence, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook)
• Assisting in various daily operations.
• Must maintain excellent communication between departments.

QUALIFICATIONS AND SKILLS:

• At least 2 years of Executive Assistant experience in fast-paced office environment.
• Knowledge of Microsoft Office (Word, Excel, Outlook).
• Knowledge of Encompass software and Adobe is a plus.
• Excellent consulting, writing, presenting, and communication skills.
• Positive attitude.
• Detail oriented with good multitasking and organizational ability.

EXPERIENCE:

• At least 2 years of experience in a fast, paced office environment.
