Full-Time Position in Webster, NY
40 hours per week, Monday through Friday, from 8:30 am to 5 PM. This is NOT a remote position.
Job Duties include:
Monitor assigned referrals for specific special requests and rush deadlines.
Utilize appointment books and a database to schedule exams and confirm examiners' availability.
Scheduling exams accurately, taking into account the specialty and type of request.
Utilize a five-line phone system to support customer service and address callers' needs.
Respond to referrals and questions via email and phone within 2-4 hours.
Maintain regular communication with the Clerical Supervisor and Lead, discussing issues, seeking assistance, and reporting on backlogged cases or new claims.
*Assist with other clerical tasks as needed or requested by Management or Supervisor.
Key responsibilities:
- Operating computers, phones, copiers/scanners, and working within the company's database, server, and email system.
- Performing data entry/typing with excellent verbal and written communication skills
- Handling time-sensitive and confidential paperwork and mail while ensuring compliance with HIPAA guidelines.
- Maintaining all documentation in an orderly manner.
- Participating in cross-training and assisting other departments during slow periods.
- Complying with all established CDC and OSHA health, safety, and security measures.
- Adhere to procedures and guidelines, pay attention to details, and notify Management of any inconsistencies.
- Maintaining the highest levels of customer care while demonstrating a friendly, energetic, and positive attitude.
- Maintaining a high level of professionalism with management, supervisors, and co-workers.
- Effectively working both individually and in a team environment.
- Competency in performing multiple functional tasks.

- Ability to lift 25-50 pounds/lifting large trays/tubs of mail and heavy packages.
