Client Care Coordinator (Hospitality-Focused) $18–$23/hour | Full-Time | DUMBO, Brooklyn
Job Summary We’re looking for a friendly, polished, and hospitality-driven Client Care Coordinator (C3) to join our close-knit animal care team in a beautiful, modern veterinary hospital located in DUMBO, Brooklyn. This role is ideal for someone with a strong background in hospitality, guest services, or high-touch customer experience who understands how exceptional service builds trust, loyalty, and long-term relationships—especially when people are stressed or in need. You enjoy working with animals and understand the deep bond between pets and the people who love them.

As our Client Care Coordinator, you are the first and last impression of the practice. You bring warmth, confidence, and clarity to every interaction, helping clients feel supported while keeping the hospital running smoothly.
Responsibilities Welcome clients and patients with professionalism, warmth, and a hospitality-first mindset. Check in patients and verify all client and pet information accurately. Answer, triage, and route incoming phone calls with efficiency and empathy. Schedule, confirm, and manage appointments in a fast-paced environment. Maintain detailed and accurate documentation of client interactions and resolutions. Process payments, handle billing questions, manage orders and returns, and update client accounts. Communicate clearly and effectively with veterinarians, management, and team members. Develop a working knowledge of vaccinations, common lab tests, basic medical conditions, and pet behavior. Address client concerns calmly and professionally; escalate complex issues when appropriate. Support general organization and shared upkeep of front-of-house areas. Perform additional administrative duties as needed.
Qualifications At least 2 years of experience in hospitality, guest services, or a customer-facing role, with a strong focus on relationship-building and repeat client experience. Experience in a veterinary, medical, or healthcare setting is a plus, but not required. Comfortable interacting with a variety of animals and their owners. Excellent verbal and written communication skills. Confident using customer service software, scheduling platforms, and digital tools. Proficient in Google Workspace (G-Suite) and quick to learn new systems. Strong problem-solving skills and sound judgment under pressure. Friendly, patient, and professional demeanor—especially with stressed or emotional clients.
