    Job Summary We are looking for a friendly and organized Veterinary Client Service Representative to join our animal care team in a beautiful, new, progressive hospital in DUMBO, Brooklyn. We are seeking an outgoing and organized individual to be the Client Service Representative at our busy clinic. As the Client Service Representative is a front-office role that manages client interactions, handles administrative tasks, and ensures a smooth workflow for our hospital. Your responsibilities include greeting clients, scheduling appointments, managing the reception area, processing payments, and communicating with both pet owners and the veterinary staff. This role serves as the first and last point of contact for clients, playing a crucial part in our client satisfaction and the overall efficiency of the practice.

    Responsibilities

    Welcome owners and patients as they arrive.

    Check-in animal patients for their appointments.

    Collect and confirm pet and owner information.

    Answer and triage phone calls from clients.

    Understand vaccinations, basic lab tests, common diseases, and pet behavior.

    Listen to customer concerns and complaints, and find solutions to issues.

    Log details of all customer interactions, conversations, complaints, and actions taken.

    Schedule, confirm, and cancel appointments

    Process orders, take payments, handle billing and returns, and update customer accounts.

    Relay appropriate information to/from clients to doctors and/or management

    Escalate complex issues to supervisors or more experienced colleagues when necessary.

    Assist in cleaning the hospital including but not limited to: keeping reception desk area and lobby clean and sanitary, taking out the trash and recycling, exam rooms sanitized between appointments, bathroom cleaning at least once daily, and cages if needed

    Other administrative duties, as assigned

    Qualifications

    Experience in veterinary field (At least 2 years)

    Comfortable working with a variety of animals.

    Excellent verbal and written communication skills are crucial for interacting with customers.

    Experience with customer service software and other relevant platforms is often required

    Proficient in Microsoft Office, scheduling software, and other technology

    The ability to analyze situations and find effective solutions is key to resolving customer issues.

    A friendly and patient demeanor is important, especially when dealing with frustrated customers.
