Planning With Purpose, a boutique law firm in Lynnwood, WA, is seeking an outgoing, detail-oriented client coordinator. Our front-end individual is the first introduction to the firm for potential clients and will set the tone of the law firm when clients walk into the firm. We are seeking someone with exceptional customer service skills, who is confident in making people feel at ease and accepted, and is detail-oriented. This position also requires organizational skills since many administrative tasks are assigned to this role. Strong computer skills will be necessary, specifically in Microsoft Word, Excel, and Outlook. This is an in-person, Monday-Friday position with occasional Saturday requirements (4 per year, approximately). Responsibilities: • Answer phones and direct callers to the appropriate person or service. This will take a concentrated effort to learn our process and what services we offer in order to successfully manage incoming calls. Promptly organizing, returning, and handing off messages is one of the highest functions of this position. • Engage with clients with excellent customer service skills. Welcoming clients, setting the tone of the firm, and serving initial client needs are very important to a client's first impression - you will be the face of the firm. We are seeking an individual who will take personal pride in communication with clients through the entire client process and will ensure that no gaps in production or client experience are created. • Scheduling various meeting types for attorneys, communicating with clients regularly for those meetings, and following up with potential clients. • Administrative tasks and responsibilities will include preparing client work products, folders, and internal process sheets, organizing and preparing the office for client meetings, and managing, appropriately categorizing, scanning, and organizing all incoming mail. • Using multiple software programs, including Microsoft Office (Word, basic Excel, Outlook, etc), client CRM, and more. Must already possess strong Microsoft Office skills and use a computer confidently. Qualifications: • In-person job at the Lynnwood office; • Must dress professionally; this work is at a law office. • Must have reliable transportation. • Take the initiative to finish tasks responsibly and is able to work independently. • Must possess excellent project management skills, communication skills, and a strong work ethic. • Must have an excellent demeanor with phone calls and be extremely patient with clients to uphold our reputation and personal service. • Must listen to several radio show podcasts and write a cover letter describing why you would be an amazing fit for our culture and purpose.
