Who You Are You are a poised, kind, emotionally intelligent, systems-minded client relationship manager. You answer phones and make outgoing calls, conduct legal case intake, schedule attorney-client appointments, greet clients and other professional visitors to the office, and help manage task completion for all client matters in progress. From start to finish, you are responsible for client relationship management. You triage complex client needs and requests with grace, and ensure that their legal matters stay on track. You remain calm under pressure, bring good energy to a team, and understand that every client touchpoint reflects and affects our firm’s reputation. You are organized, easily able to prioritize and manage your own workload, including a wide variety of deadline-driven and project-related tasks. You are client-oriented and understand the impact of tone, timing, and clarity on people seeking our professional guidance for their highly personal legal matters. This is not an entry-level role. This role requires discretion, mature judgment, an understanding of how wills, trusts, and estates impact families, and a desire to assist client families through the years. Your compensation will be commensurate with your experience, skills, and demonstrated effectiveness in your role in our firm. • All new hires receive clear direction and expectations for role-specific responsibilities, training materials and resources, have opportunities for hands-on training, and receive regular feedback with weekly check-ins to review performance to date. • After each 30 days during the initial, 90 day Introductory period, we review performance together using clear, objective success metrics (e.g., communications, accurate and timely task completion, calendar management, and client feedback). • Your compensation may increase quickly if you demonstrate excellence and accountability in your role in our firm. Your core job responsibilities include: • promptly and professionally answering or returning all communications to our firm, by phone, text, email, or letter • conducting all initial lead intake and performing initial case screenings • receiving all visitors to our office with warmth and poise • managing the firm’s calendar and scheduling logistics • accurately entering and updating relevant client and matter information into our system and assisting our team with tracking deadlines, providing regular matter status updates, and ensuring that we are delivering on the promises we make to clients • maintaining high standards of discretion and protecting client confidentiality • actively participating in regular, collaborative team meetings to share observations and suggestions for improving our internal systems and clients’ experience • documenting and refining systems and processes within your core job responsibilities Qualifications: Skills & Experience That Will Help You Thrive Here • 3+ years on site work experience in a small to mid-sized law firm • baseline familiarity with wills, trusts, estates, and probate law • keen attention to detail and strong follow through with a high degree of accuracy • experience handling and safeguarding sensitive and confidential client information • excellent written and verbal communication skills • ample practical experience with law firm calendar management and appointment scheduling • highly proficient user of: Mac computers, Microsoft Office Suite, Gmail, Adobe, and Slack • experience using a law practice management software program (CRM)
