Client Experience & Marketing Coordinator
Full-Time | In-Office | San Antonio, TX
The Client Experience & Marketing Coordinator is responsible for owning the client journey and executing brand-forward marketing deliverables with precision, consistency, and professionalism. This role is execution-driven, detail-oriented, and highly accountable, supporting CKC’s white-glove reputation while working in close partnership with the Director of Sales & Marketing.
This position is not a junior or observational role. It requires independent ownership, follow-through without reminders, and the ability to manage multiple priorities in a fast-paced luxury environment.
Reporting Structure
- Reports directly to: Director of Sales & Marketing
- Works cross-functionally with: Sales, Design, Construction, Operations
- Owner oversight as needed for brand and client experience alignment
Core Responsibilities
Client Experience Ownership (Post-Contract → 1 Year Post-Close)
- Serve as the primary point of contact for active clients, ensuring consistent, proactive, and professional communication
- Own the day-to-day client experience, anticipating needs and addressing questions before escalation
- Provide weekly Buildertrend updates, including progress photos and milestone communication
- Administer client experience surveys at defined milestones and communicate feedback internally
- Act as the communication bridge between clients and internal teams while respecting department ownership
- Maintain organized client communication records and updates in Buildertrend and Basecamp
Client Milestones & Closing Experience
- Coordinate and participate in key client moments:
- Post-contract “Meet the Team” introductions
- Groundbreaking moments
- Closing celebrations
- Own all closing logistics, including scheduling, gifting, photography coordination, and final details
- Deploy closing surveys and support Google review generation
- Assist with preparation of client-facing presentations, proposals, and meeting materials
Marketing Execution & Brand Presence
- Execute CKC’s organic social media content across Instagram, TikTok, Facebook, LinkedIn, YouTube, and Pinterest
- Create and publish platform-specific content aligned with CKC’s luxury positioning and brand standards
- Maintain and update content calendars, ensuring timely execution
- Respond promptly and professionally to DMs, comments, and audience interactions
- Attend and support content capture days, coordinating with construction, design, and media partners
- Support events, realtor engagement, and brand initiatives through coordinated marketing execution
Note: Strategy, campaigns, and growth initiatives are directed by the Director of Sales & Marketing. This role is responsible for execution and follow-through.
Reporting, Organization & Accountability
- Provide weekly analytics reports with clear, accurate data
- Deliver a weekly “week at a glance” plan outlining tasks, field time, and priorities
- Provide weekly Basecamp recaps of completed and in-progress tasks
- Maintain organized digital assets across Teams, Dropbox, Pixieset, and Vimeo
- Follow established communication, approval, and reporting protocols consistently
Required Skills & Experience
- 3+ years in client experience, marketing coordination, luxury real estate, design, or hospitality
- Exceptional written and verbal communication skills
- Strong attention to detail and ability to execute complete scopes of work
- Proven ability to manage deadlines and priorities independently
- Comfort working in a high-accountability, fast-paced environment
- Proficiency with Canva, social platforms, CRM/project management tools
- Strong aesthetic sensibility aligned with luxury brands
