As our Client Experience Paralegal – Estate Planning, you’ll play a vital, client-facing role in helping families feel confident and supported every step of the way. This is not your typical paralegal position. You’ll serve as a trusted guide, leading clients through their design, review, and signing meetings, while answering questions with clarity and compassion. You’ll help clients understand their plans, finalize documents, and feel great about the decisions they’re making — all with a smile and a human touch. The right candidate will be personable, confident, empathetic, and detail-oriented, with the ability to clearly explain legal concepts and deliver an exceptional experience. Responsibilities: Lead Client Design Meetings • Guide clients through the estate planning process by helping them design personalized plans under attorney supervision. Ensure clients feel heard, understood, and supported throughout. Facilitate Review & Signing Meetings • Clearly explain estate planning documents (wills, trusts, powers of attorney, etc.) in everyday language. Ensure accuracy, understanding, and confidence before signing. Serve as Primary Point of Contact for Past Clients • Answer questions from returning clients with professionalism, warmth, and clarity. Help them navigate updates, document needs, or next steps. Collaborate with Attorneys and Team Members • Ensure legal documents align with attorney strategy and client goals. Proactively communicate with the team to keep cases moving smoothly. Support Document Finalization and Execution • Assist in preparing, organizing, and reviewing final estate planning documents. Maintain attention to detail and compliance with firm procedures. Deliver an Exceptional Client Experience • Create a welcoming, informative, and positive environment during every client interaction — before, during, and after the planning process. Maintain Accurate Case Notes and CRM Updates • Document client interactions and meeting outcomes to ensure consistent follow-up and team coordination. Help Clients Take Action • Motivate clients to complete the next steps in their planning journey, including trust funding or beneficiary alignment, and explain why it matters. Participate in Ongoing Training & Improvement • Attend firm trainings, contribute ideas for improving the client experience, and stay up to date on estate planning best practices. Qualifications: Required: • 2+ years of experience in a paralegal, legal assistant, or client services role (estate planning or related field strongly preferred). • Exceptional people skills — warm, empathetic, and able to build trust quickly. • Strong verbal and written communication skills; able to clearly explain legal concepts in everyday language. • Comfortable leading client meetings, both in person and via Zoom. • Highly organized with strong attention to detail. • Ability to manage multiple cases and tasks without letting anything fall through the cracks. • Tech-savvy, including proficiency with Microsoft Office and ability to learn new systems (we use Clio, Monday.com, and Zoom). • Positive, team-oriented attitude aligned with our core values. • Self-starter with an “owner mentality” — proactive, accountable, and always looking to improve. • High level of discretion and professionalism in handling confidential client information. Preferred: • Experience in estate planning, elder law, probate, or related areas of law. • Prior experience working directly with clients in a legal or service-based setting. • Paralegal certificate or equivalent legal education/training. • Familiarity with CRM or legal practice management systems (e.g., Clio, Lawmatics, Monday.com). • Sales or consultative service background — ability to identify client needs and guide decision-making. Compensation: $50,000 yearly
