Responsibilities: • Deliver exceptional customer service while managing incoming calls from new clients during the intake and onboarding process • Answer all incoming calls for the firm • Schedule client appointments and coordinate meetings with legal team • Support the legal team with various administrative tasks • Communicate with clients to provide updates and collect required information • Keep firm databases, reports, and spreadsheets up to date-tracking calls, qualified leads, scheduled meetings, referral sources, and key performance metrics • Answer and direct phone calls, take messages, and respond to inquiries • Prepare and modify documents, including correspondence, reports, drafts, memos, and emails. • Organize and schedule meetings, prepare agendas, and take meeting minutes • Processing of mail for the legal team Qualifications: • 1 - 3 years of experience in administrative and customer service roles, ideally within a law firm or a client-centered environment • Excellent communication skills, with the ability to actively listen, build rapport, and engage professionally and compassionately with clients from all backgrounds • Strong organizational skills to manage multiple client intakes, prioritize effectively, and handle confidential information with discretion • Experience with CRM or case management systems is a plus, along with a willingness to quickly learn new technology • High attention to detail, ensuring accuracy in data entry, documentation, and client communication • Ability to stay calm under pressure and manage difficult conversations with empathy and professionalism • A collaborative, team-oriented attitude with a passion for exceptional client service and contributing to a positive, client-focused culture Compensation: $15 - $18 hourly
