We are seeking a Client Intake & Reception Coordinator who will serve as the welcoming first point of contact for our firm while helping guide prospective clients through the intake process. This position combines front-desk professionalism, client service, and intake coordination to ensure thatevery client interaction reflects the firm’s caring and responsive approach. About the Role This is an in-office position located in Northborough, Massachusetts. As the Client Intake & Reception Coordinator, you will manage the front desk while also helping track potential clients, schedule consultations, and support the firm’s administrative processes. You will play a key role in ensuring that every person who contacts the firm feels heard, supported, and confident that they are in the right place for help. Responsibilities: Client Intake & Lead Management • Speak with potential new clients and gather information about their legal needs • Identify qualified leads and schedule consultations with the appropriate team member • Track leads and consultation conversions in the firm’s database • Maintain communication with prospective clients who have not yet scheduled or retained the firm • Prepare engagement agreements and assist with follow-up when necessary Reception & Client Experience • Answer incoming calls and direct calls appropriately • Provide exceptional customer service to callers and visitors • Greet clients and create a welcoming and professional first impression • Schedule appointments and manage the office calendar • Ensure the reception area and conference rooms remain clean and organized Administrative & Office Support • Provide administrative assistance to attorneys and staff as needed • Maintain accurate client contact information and records • Perform data entry and update the firm’s case or contact management systems • Receive and route mail, deliveries, and packages • Support general office tasks and operations Qualifications: • 2–5 years of professional office experience • Legal, estate planning, or elder law experience preferred • Strong customer service and client communication skills • Experience with Microsoft Word, Microsoft Excel, scheduling, and data entry • Ability to stay organized and manage multiple priorities • Professional demeanor and polished appearance for client interaction Personality Traits That Thrive in This Role We are looking for someone who brings both compassion and confidence to their work.
