We are a fast-paced law firm looking for an energetic, compassionate, and results-driven Client Intake Specialist to be the first voice prospective new clients (PNCs) hear. You will own the full intake journey, from the very first phone call or email inquiry through to a booked consultation, and will play a direct role in driving firm revenue through strategic appointment setting. This role goes beyond answering phones. You will deliver a compelling pitch to every qualified prospect, proactively re-engage older leads who have gone cold, and ensure no opportunity slips through the cracks. You thrive on connection, move quickly, and understand that a warm, well-timed follow-up can be the difference between winning and losing a client. This position is remote in Colombia. Responsibilities: • Be the first impression that turns someone into a client handle and all incoming inquiries with warmth, professionalism, and a genuine desire to help. • Guide prospective clients through the intake process from first contact to booked consultation, making every interaction feel personal and reassuring. • Confidently communicate the value of working with our firm; you know how to listen, connect with people's needs, and move a conversation toward a decision. • Proactively follow up with prospects who haven't yet taken the next step, including older and cold leads. • Hit and exceed monthly appointment-setting goals, contributing directly to the growth and success of the firm. • Maintain detailed and accurate records of all client interactions, leads, and scheduled consultations using our CRM platform. • Manage multiple communication channels — phone, email, and text — with responsiveness and professionalism, ensuring no inquiry goes unanswered. • Stay organized, follow established processes, and contribute to a team culture built around accountability and client care. Qualifications: • Excellent verbal and written communication skills. • Proven track record in a sales, intake, or client-facing quota-driven role. • Experience following up on aged leads and re-engaging cold prospects with persistence and professionalism. • Genuine empathy and compassion. • CRM experience required; HubSpot familiarity strongly preferred. • Highly organized with the ability to manage multiple communication channels (phone, email, Slack, text) simultaneously. • SOP-driven mindset: you follow the process, document accurately, and flag issues when they arise. • Comfortable with multi-platform communication tools, including Slack, GoTo, and scheduling software. • Prior experience in a legal, law firm, or professional services intake role is a significant plus. Compensation: $1,500 monthly
