About the Role: We are looking for a highly organized and motivated Client Operations Coordinator to join our growing team. In this role, you'll serve as a vital bridge between our clients, case managers, and care staff—ensuring that services run smoothly, intakes are completed efficiently, and client needs are met with professionalism and care.
This is an in-office position with mandatory training for the first 1–3 months at our Coon Rapids headquarters. After training and onboarding, you will transition to working independently at our Minneapolis or West St. Paul branch.
Key Responsibilities:
Coordinate new client intakes and ensure timely completion of all required paperwork
Maintain communication with clients regarding support plans, service agreements, and changes in client needs
Schedule intake meetings, assessments, and staff-client introductions
Track service authorizations and ensure clients are utilizing approved hours
Work closely with internal teams to ensure staffing, service start dates, and compliance are aligned
Maintain accurate records and follow up proactively on pending or incomplete documents
Represent the company with professionalism and warmth to both clients and partners
Requirements:
Must be able to commute to Coon Rapids office for initial 1–3 months of training
After training, must be willing to work on-site at either our Minneapolis or West St. Paul location
Strong communication and coordination skills
Tech-savvy and comfortable learning systems for documentation and scheduling
Ability to handle sensitive information with discretion
Must be organized, dependable, and detail-oriented
Previous experience in human services, healthcare, or office coordination is a plus
